Job TypeFull-timeDescriptionInterlink seeks a highly organized, technology-savvy Executive Assistant to join our team and support senior leaders and business operations. The RoleYou’ll work directly for the CEO and CTO as their Executive Assistant, responsible for a high volume of tasks, including schedule coordination, creating and maintaining organizational systems, and handling travel and event logistics. You'll also support various leadership team functions, working closely with the People and Operations teams.You, our ideal candidate, are highly organized, proficient with Microsoft technologies, reliable, and adept at project tracking. You efficiently manage and prioritize tasks for our executives.You enjoy interacting with many people and maintaining an engaging and positive attitude. You can operate with minimal guidance or supervision and are good at anticipating problems while managing multiple, sometimes conflicting, priorities and inputs.ResponsibilitiesManage and maintain complex digital calendars for the CEO and CTO, including scheduling, prioritization, and coordination of activitiesProactively review upcoming commitments and prepare for future meetings and obligations, both internal and externalProvide personal assistance, including scheduling personal appointments, coordinating social engagements, and managing personal and family travelOwn end-to-end travel planning and logistics for domestic and international travel, ensuring efficient, well-sequenced itineraries for both professional and personal needsCoordinate staff meetings, including agenda preparation, documentation of action items, and tracking follow-up items to completionOversee logistics for multiple events throughout the year, including conferences, leadership retreats, company meetings, and employee engagement activitiesOrganize and manage relationships with key vendors, including office cleaning, building maintenance, and supply providersSupport cross-functional initiatives as needed, including research, operations support, and client-related activitiesLead and support additional special projects assignedRequirements3+ years of experience providing high-level administrative support to senior executives, ideally within entrepreneurial, small, or mid-sized organizationsAdvanced proficiency with Microsoft 365 tools, including Outlook, Excel, Word, Teams, Planner, and PowerPoint, with the ability to leverage technology to improve efficiency and organizationProven experience managing complex calendars and coordinating domestic and international travel, including both business and personal arrangementsAbility to operate effectively in a fast-paced, constantly changing environment, bringing structure and calm to competing prioritiesHighly organized and detail-oriented, with strong follow-through, sound processes, and a sense of urgency to ensure work is completed accurately and on timeExcellent written and verbal communication skills, with the ability to convey information clearly, professionally, and logicallyProactive, self-directed, and ownership-driven, with confidence to anticipate needs and resolve issues independentlyDemonstrated ability to collaborate effectively with internal teams and external partnersA high level of integrity, discretion, and judgment when handling sensitive and confidential informationAbility to successfully pass a pre-employment background checkAbout UsInterlink is a nationally recognized IT consultancy, offering the flexibility of a small company while providing stability and benefits usually found at enterprise firms.
