The People Operations Office Administrator will develop relationships at all levels of the organization and will foster a collaborative team environment and a strong service-oriented culture. The ideal candidate will be a self-starting and passionate individual who demonstrates integrity and strives to perform quality work.ResponsibilitiesOffice Operations & MaintenanceEnsure efficient day-to-day office operations by maintaining adequate office supplies, restocking inventory, and overseeing office equipment and workspace appearanceCoordinate with vendors, service providers, and building management regarding facility maintenance, service requests and office-related needsManage incoming and outgoing mail, deliveries and general office logisticsAssist with workspace organization, meeting room readiness, and overall office functionalityAdministrative & Organizational SupportProvide scheduling and logistical support for meetings, training sessions and team eventsSupport special projects and cross-functional initiatives as assignedAnswer calls and direct them to the appropriate staff memberHandle general inquiries from staff, clients and the public. Serve as the first point of contact for staff and visitors while onsiteCoordinate and schedule internal and external meetings, ensuring that meetings spaces are booked set up appropriatelyAssist with preparation and processing expense reports and invoices, ensuring timely submission and paymentPeople Operations SupportSupport onboarding and offboarding processes, including preparing materials, coordinating equipment set up, and maintaining employee recordsAssist with updates to HR and Recruiting systems and support date entry related to employee and candidate informationProvide administrative support to People Operations initiates and projectsEmployee Experience & CultureHelp coordinate employee engagement initiatives, recognition programs, and company eventsAssist with internal communications related to People Operations programs and updatesServe as a point of contract for general employee questions and direct inquiries to the appropriate resources.Minimum QualificationsHigh School Diploma or equivalentAt least 1 year of experience in an administrative or office support roleProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)Strong organizational skills with an ability to prioritize and multitaskExcellent communication skills, both written and verbalAbility to maintain discretion and confidentiality when handling sensitive informationPhysical RequirementsThe requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this jobWhile performing the duties of this job, the employee:Must be able to climb stairsMust be able to lift and carry 20 poundsPreferred QualificationsAssociate's or bachelor's degree in business administration or a related fieldExperience with JAMIS Prime Software and/or PaycomFamiliarity with office management procedures and basic accounting principlesProactive and independent problem-solving skillsExperience in a Government Contracting setting.Location: San Diego, CASchedule: 100% ONSITESalary: 45k+ to align with experience and educationApplicants selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information.Ignite Digital is a Small Business committed to providing exceptional service to government agencies at competitive prices.
