This position oversees financial communication with client representative payees, Washington State Department of Social and Health Services (WA DSHS), Social Security Administration (SSA), housing authorities/landlords, Medicaid/Medicare, and with The Arc of King County’s internal finance team. The FA ensures timely processing and tracking of reimbursement forms for client-related expenses, maintains organized financial records, assists the Supported Living quality assurance team in Individual Financial Plan (IFP) creation and maintenance, oversight of client ledgers, supports audit preparation. While collaborating closely with program management to promote transparency, accuracy, and accountability in financial and administrative processes. As well as overseeing SLP vehicle fleet tracking and maintenance.Organizational Reporting RelationshipsDepartment: FinanceSupervisor: ControllerProgrammatic Oversight: Director of Supported Living in compliance with DSHS/DDA PolicyEssential Functions General bookkeeping and data entry with a primary focus on SLP transactions.General Ledger Maintenance: record financial transactions, including vendor invoices, bank deposits, and adjusting journal entriesAccuracy & Coding: Ensure all entries are meticulously coded to the correct accounts, departments, or project codesAudit Readiness: Maintain a clean digital trail by attaching receipts, invoices, and supporting documentation directly to transactions within QuickBooks. Support with audits as neededCredit Card Management: Expense tracking, categorizing, receipt reconciliation, Accounts Payable and Vendor Management: coordinate with vendors, process bills, create and print checks. Maintains basic accounting and documentation practicesAssists with special financial projects, research, or data cleanup tasks as assigned.Collaborates with Controller to submit timely and accurate invoices for current grants and contracts.Maintains current knowledge of DDA financial processes, reimbursements, residential allowance requests (RARs), and allowable expense guidelines for Supported Living programs.Maintains a deep working knowledge of representative payee roles, responsibilities, and communication protocols.Responsible for billing, invoice processing and tracking of payments for trainings and events, including utilizing website interfaces.Assists in providing training and hands on learning opportunities to expand both staff and client knowledge of processes and procedures related to finances as well as other administrative tasks associated with SLP.Keeps up-to-date knowledge of IDD services and resources applicable to clients.Maintains participant and organizational data including monitoring, navigating and reconciliation using financial monitoring systems such as, but not limited to Digital Banking portals, and QuickBooks.Accurately responds to and resolves in a timely manner questions, concerns and/or issues related to the financial and administrative support provided in the scope of the position. Continually evolves internal and external materials and trainings. Formatting them to be accessible to different cultural communities in terms of disability, language, culture, location, and other applicable considerations. Utilizing The Arc of King County’s diverse staff team, interpreters and/or other resources available.Oversee fleet of vehicles and work with teammates to conduct an annual onsite audit.Proactively participate in team, department, and agency meetings to achieve program goals.Maintains good relationships with community stakeholders, including groups identified by supervisors.Ensures program documentation and materials are up to date including but not limited to DSHS annual paperwork, client budgets and IFPs. Maintains timely and thorough documentation. Attend SLP hosted events throughout King County when possible.Collaborate effectively and professionally with team members throughout the organization. QualificationsEducationBachelor-level degree preferred or other related equivalent work experience.ExperiencesMinimum of one year of experience in an administrative or financial position.Direct experience interacting with and supporting people with intellectual and developmental disabilities and their families.Minimum QualificationsKnowledge of confidentiality standards, including HIPAA and agency policies related to client information.Understanding and ability to implement best practices for internal auditing, documentation accuracy, and data integrity.Proficiency in Microsoft Office Suite (Excel, Outlook, Word), Familiarity with platforms: Therap, Humanity, Paycom, Washington Connects, Provider One, and Relias strongly preferred.Current CPR/AED and First Aid Certification or ability to obtain at time of hire.DSHS/DDCS Basic Core Requirements (or completion of these trainings within 90 days of hire).Ability to learn about IDD and community resources through experience and on-the-job training.An ongoing commitment to learning, as policies, services and procedures change over time.Ability to learn and implement State of Washington Mandatory Reporting requirements.Demonstrated ability to work effectively with individuals of diverse economic, ethnic, and social backgrounds.OR a combination of education, experience, and measurable performance which demonstrates the capability to perform the duties of this position.If reasonable accommodation is needed, please contact Human Resources at hr@arcofkingcounty.org.The Arc of King County is an Equal Employment Opportunity employer.
