Senior Administrative AssistantThis role provides senior-level administrative and operational support to executives and their teams within a fast-paced corporate environment. The position plays a key role in ensuring day-to-day operations run smoothly, supporting planning, reporting, coordination, and internal communications. It also contributes to process improvements and helps maintain strong organization across business activities. Rate: $32/hour Hybrid: Mon-Thurs onsite, Fri remote 12 month contract (could extend or convert to FTE) Location: NYCResponsibilitiesProvide high-level administrative support to one or more senior leaders and their teamsManage complex calendars, schedule meetings, and coordinate logistics (rooms, materials, attendees)Plan and coordinate team events, meetings, and departmental initiativesPrepare, format, and distribute reports, presentations, and internal communicationsTrack budgets, process invoices/expenses, and monitor spend against targetsCoordinate travel arrangements including flights, hotels, and itinerariesMaintain organized filing systems and ensure documentation is easily accessibleLiaise with internal teams and external vendors to support operations and office needsSupport onboarding/offboarding logistics, office moves, and workspace coordinationMaintain inventory of office supplies and coordinate orders as neededTrack team availability, including vacations, absences, and overtimeAssist with training coordination (scheduling, bookings, confirmations)Use reporting tools and trackers to manage data and improve processesIdentify opportunities to improve workflows and administrative efficiencyProvide guidance or mentorship to junior administrative staffQualifications57 years of experience in an executive assistant or senior administrative support roleExperience supporting senior leaders in a fast-paced, corporate environmentStrong written and verbal communication skillsHighly organized with strong attention to detail and ability to multitaskStrong problem-solving and analytical thinking skillsProven ability to manage priorities and work independentlyComfortable working with reporting tools, spreadsheets, and administrative systemsPost-secondary education or equivalent experience preferredWe are an equal opportunity employer and value diversity at our company.
