Executive Assistant
A prominent financial services firm is seeking an Executive Assistant to join their team. This role is ideal for a polished, highly organized professional with a strong personality who thrives in a fast-paced, high-performance environment and enjoys supporting senior leadership at a strategic level. You will have the opportunity to work closely with top executives, play a critical role in day-to-day operations, and be a key contributor within a dynamic and high-impact team. This position is offering a salary range of 125k-150k depending on experience and also offers a comprehensive benefits package is offered including but not limited to medical and dental insurance as well as generous PTO.
Key Responsibilities of the Executive Assistant:
Manage complex and ever-changing calendars for senior executives, including coordinating internal and external meetings across multiple time zones
Coordinate extensive domestic and international travel, including detailed itineraries and last-minute changes
Prepare materials for meetings, including investor presentations, reports, and board-related documentation
Serve as a key point of contact for internal teams, investors, and external stakeholders, maintaining a high level of professionalism
Manage and prioritize executive inboxes, including drafting and responding to correspondence on behalf of leadership
Support deal flow and transaction processes by assisting with scheduling, document coordination, and follow-ups
Plan and coordinate team events, investor meetings, and offsites
Handle expense reporting and ensure timely and accurate submission
Anticipate executive needs and proactively address scheduling conflicts and priorities
Qualifications of the Executive Assistant:
5+ years of experience supporting senior executives, preferably within finance, or professional services
Strong interpersonal skills with an engaging, confident personality and the ability to build relationships across all levels
Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment
High level of discretion and professionalism when handling sensitive and confidential information
Excellent written and verbal communication skills
Strong attention to detail with a proactive and solutions-oriented mindset
Proficiency in Microsoft Office and calendar management tools
Ability to work both independently and collaboratively within a team-oriented environment
