The DPT Administrative Support Coordinator is a skilled, experiences individual serving as both a Clinical and Office Coordinator and is classified as an Administrative Assistant. Under the supervision of the Director of the Physical Therapy Program and the Director of Clinical Education, this 12-month, full-time role combines clinical support and administrative responsibilities to ensure the program's smooth operation and enhance our students' learning experience. This role requires utmost professionalism and confidentiality (including HIPAA and FERPA), especially when handling sensitive student health and educational records. Strict adherence to privacy protocols is essential.
Responsibilities
Clinical Support, including but not limited to:
Clinical Education Compliance & Student Management
Monitor and manage student clinical compliance within EXXAT and ACEMAPP, including health requirements, background checks, CPR, OSHA, Bloodborne Pathogen, and HIPAA documentation.
Track approval statuses, expiration dates, required hours (PT 781, 782, 783), and conduct compliance audits.
Coordinate background checks (preparation, execution, follow-up).
Manage student communication related to clinical requirements, midterm calls, meetings, orientations, and task completion.
Schedule and manage Professional Portraits and upload required documentation.
Clinical Site & Contract Management
Review and maintain affiliation agreements, ensuring contracts, signatures, dates, and personnel remain current.
Assist the DCE with acquiring and tracking clinical placement slots.
Maintain liability and workers' compensation insurance documentation.
Platform Oversight & Data Management
Monitor, audit, and maintain EXXAT and ACEMAPP platforms, including the EXXAT public site (curricular updates, syllabi, handbooks and clinic resources).
Attend coordination meetings with platform representatives as needed.
Assist the DCE with preparing, executing, and following up on the March 1st Mailing (M1M).
Clinical Education Support & Communication
Support the DCE in communication with students, clinical instructors (CIs), site coordinators, and other clinical stakeholders.
Assist with clinical orientations, events, and course-related expectations.
Order and manage supplies related to clinical education.
Assessment, Accreditation & Reporting
Assist with the preparation of clinical education reports for program assessment.
Support the Annual Accreditation Report (AAR).
Distribute and manage surveys related to clinical education.
Administrative Support including but not limited to
Admissions & Recruitment Support
Support year-round DPT recruitment and admissions processes under the direction of the Program Director and/or Admissions Chair.
Manage assigned tasks within PT-CAS, WebAdmit, Slate, and related admissions systems.
Complete assignments associated with campus visits, guest lecturers, program visitors, and professional visits.
Complete learning tasks essential for the successful management of assigned admissions tasks.
Event & Program Operations
Plan and support events, including logistics, catering, room setup, RSVPs, invitations, and event execution (set-up/tear-down).
Oversee Media Board activities, including administration of social media, related to program promotion and student support.
Accreditation
Assist in preparing accreditation materials, reports, and site visits.
Maintain program files, records, and reports related to the Annual Accreditation Report and Self-Study.
Administrative & Office Management
Support budget preparation, purchasing, reimbursements, and business requests.
Maintain program files, records, and reports.
Attend program meetings and record minutes.
Assist with review of the strategic plan and related initiatives, and associated program and/or committee alignment.
Manage internal and external mail.
Oversee ordering and inventory systems for office and program supplies.
Maintain office and program equipment.
Provide administrative support to adjunct faculty and assist with faculty/staff searches.
Collaborate with the Director of Academic Coordination to achieve desired programmatic outcomes.
Serve as liaison between the DPT program and other campus offices and constituents when needed.
Perform other duties as assigned.
Qualifications
Bachelor's degree highly recommended.
Experience in academic or clinical education preferred.
Strong organizational and communication skills (written and verbal).
Knowledge of administrative office procedures.
Aptitude consists of proficient use in relevant software and technology used in PT practice and education.
Familiarity with FERPA and HIPAA regulations regarding the maintenance and release of protected data.
Healthy interpersonal skills with appropriate professional boundaries.
Strong organizational and critical thinking skills.
Ability to prioritize work and needs of the program appropriately.
Attention to detail and accuracy.
Ability to work collaboratively in a team environment.
