As the Office Manager, you will be responsible for hiring, managing, training and motivating the Office team. You will manage the office team to perform all job file coordination and invoicing functions, oversee administrative activities, and ensure customer satisfaction. You will serve as the in-house expert on QuickBooks, Microsoft Office, and multiple proprietary software systems.
Primary Responsibilities:
Manage job file coordinator team
Coordinate and maintain company calendar and franchise communication
Manage accounts payable, accounts receivable, and cash management
Verify and analyze financial reports and divisional key measurements
Verify payroll and transmit hours worked, PTO earned and used to accountant for processing
Develop and document divisional and franchise annual plans and performance
Manage office organization and supplies
Skill Set Requirements:
5+ years office, accounting, job file management, or customer service management experience required
Expert proficiency in QuickBooks and Microsoft Office required
Ability to quickly and accurately learn and implement proprietary software systems required
Knowledge of Job File Management processes preferred
Experience with Commercial insurance programs preferred
Experience building a strong team
Solid organizational and planning skills with strong attention to detail
Outstanding written and verbal communication skills, including a professional tone of voice at all times
Education / Training:
Associate or bachelor's degree preferred
IICRC certifications preferred
Proficiency with Xactimate estimating software preferred
