Rȇve | Realtors - Office Coordinator328 N Columbia St, Covington, LA 70433Job Summary: We are seeking a highly organized and detail-oriented Office Coordinator to oversee daily office operations, manage administrative and financial tasks, and ensure a welcoming and efficient work environment. This role is integral in maintaining office functionality, supporting agents, and handling incoming commission checks. The ideal candidate is proactive, customer-service focused, and capable of multitasking in an office setting. Key Responsibilities: Office Management & Administrative Support Open and close the office daily, ensuring all systems, lights, and supplies are adequately maintained. Note found issues to the Property Manager, escalate to the Operations Manager as needed. Keep office spaces clean, stocked, and organized, including kitchen and conference areas. Order and manage office, coffee, and cleaning supplies weekly and as needed with clear tracking in Click-up.Receive and distribute mail and packages. Water and maintain office and garden plants as needed.Front Desk & Reception Greet guests, agents, and visitors to ensure a professional and friendly first impression. Manage phone calls, including forwarding voicemails, handling inquiries, and transferring calls to agents. Monitor and adjust office music levels as needed. Financial ProcessesProcess incoming commission checks and electronic payments by scanning, entering them into Darwin (accounting software), adding to the proper loop in Dotloop, tagging the loop in Dotloop, and notifying the agent that the check has been added to the loop. This process will work in conjunction with the Finance Administrator.Make daily check deposits using the Chase application and flag discrepancies to the Finance Administrator or Operations Manager as needed.Agent SupportOrganize agent folders and ensure proper document management as needed. Relay technical and training issues reported by agents to the appropriate manager for assistance.Marketing & Signage Management Coordinate with vendors to order and track marketing materials, including flyers and signage. Maintain sign inventory and notify agents upon delivery. Assist agents with ordering and retrieving signs & promotional materials. Event & Meeting Coordination Prepare private space for meetings, including adjusting thermostats and ensuring materials are available. Assist with class and event setup, including printing handouts and organizing post-event clean-up. Help agents or external vendors organize social events held in the office, including readying the space, informing agents, and acting as a representative for Reve on site.Edit and post weekly team meeting videos and documents if directed by another manager.Qualifications: Proven experience in office management, front desk, or administrative roles.Strong organizational skills and attention to detail. Excellent communication and customer service abilities. Proficiency in office software and ability to quickly learn new systems. Basic financial knowledge, including handling invoices and deposits.Ability to multitask and manage priorities efficiently. Experience in real estate or familiarity with industry tools (Dotloop, WorkVivo, Darwin, Click-up) is a plus. Work Environment: This is a part-time, in-office role that requires regular interaction with agents, guests, and vendors. The position involves occasional lifting of supplies, being a welcoming presence in the Northshore office, and ensuring office upkeep.
