Legal Receptionist
About the Role
We are looking for a Legal Receptionist for our firm's front office. You'll maintain a welcoming and professional environment for clients and visitors while providing overflow administrative and legal support to our attorney and paralegal team.
This role does not own specific cases or legal tasks it is the connective tissue that keeps our office running smoothly every single day. You'll work under the supervision of the Director of Business Operations and the Case Manager.
What You'll Do
Front Desk & Office Operations
Serve as the physical presence at the front desk during all business hours
Monitor building entry and manage guest access
Greet clients and visitors professionally; confirm identity and direct guests to the appropriate team member
Open and close the office daily, managing lights and doors appropriately
Sort, date-stamp, and distribute incoming mail and packages; coordinate outgoing mail
Maintain and coordinate conference room calendars; ensure rooms are clean and ready for all meetings
Manage office supplies, coffee, tea, and hospitality items
Maintain the copy room, copier, and postage machine
Coordinate shredding bin services with vendor
Maintain and update the firm phone extension list
Support firm events, meetings, and functions as requested
Assist with answering phones as needed
Legal Support
Scan, save, and organize documents in Filevine, including initiating pleadings
Prepare basic document shells or form packets as directed
Assemble trial notebooks, exhibit binders, and hearing materials
Update case management fields, checklists, and file organization in Filevine as directed
Open and close case files in the case management system as directed
Assist paralegals with scheduling hearings, mediations, and client meetings
Assist with calendar management as directed
Organize and assemble financial document packets (not drafting or analyzing)
Maintain strict confidentiality regarding all client information and case matters at all times

What We're Looking For
? Prior experience in a legal or professional office environment strongly preferred
? Proficiency in Filevine or other legal case management software preferred; willingness to learn required
? Proficiency in Microsoft Office Suite (Word, Outlook, Excel) required
? Familiarity with the Colorado Courts E-Filing System is a plus
? Exceptional organizational skills and attention to detail
? Strong written and verbal communication skills
? Ability to maintain strict confidentiality at all times
? Comfortable working in a fast-paced environment with frequent interruptions

Physical Requirements
Ability to sit at a front desk workstation for extended periods
Ability to lift and carry items up to 1520 lbs (mail deliveries, supply boxes, binders)
Ability to move through office spaces to manage conference rooms, supply areas, and the copy room
Comfortable with light physical tasks such as organizing materials and setting up meeting spaces
