Position Summary: The Development Assistant is the backbone of donor services and development operations. This role ensures gifts are processed and acknowledged quickly, donor records are accurate, lists are clean and segmented, and campaigns/events have the administrative and data support required to succeed. The Assistant also coordinates schedules, materials, and logistics for donor stewardship and volunteer-led development activities. Qualifications and Skills: 2+ years administrative or donor database experience (nonprofit preferred) High attention to detail; comfort handling confidential information and sensitive survivor-centered context Proficiency with MS Office/Google Workspace and spreadsheets; ability to learn CRM systems quickly. Strong customer service orientation and professional communication skills Experience with fundraising CRMs and gift processing best practices Experience supporting events and donor mailings at scale Ability to communicate efficiently utilizing strong verbal, written, and interpersonal communication skills Demonstrated ability to organize and manage multiple projects, establish and monitor priorities, maintain flexibility, and meet deadlines with little direct supervision Must be detail oriented Must adhere to SafeSpace, Inc. ethics, policies, procedures, and contractual standards Must embrace the mission of SafeSpace, Inc. Must attend meetings off-premises and occasionally attend functions on weekends and evenings Ability to work flexible hours as needed Must maintain and protect the confidentiality of the program participants and shelter locations within agency guidelines and state statutes. Must be able to pass a level two background screen Must maintain a valid driver’s license with reliable transportation Training Requirements: Required onboarding training will be conducted at the Admin. office or designated location during the hours of 8:30 am – 5:00 pm Monday through Friday. Must successfully complete CORE Competency training provided by the agency within 90 days of employment and participate in ongoing mandatory education and skills training on relevant topics as required by statutory funding, certification of the agency or personnel, or as identified to improve employee performance. Must maintain annual training requirements outlined in the employee manual. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Will be a noisy environment that is fast paced with high stimulation. Some evening/weekend support during key events and peak appeal mail/processing periods. Primarily office-based or hybrid; must be able to manager occasional lifting or mail/event materials (reasonable accommodation available). Process and acknowledge all gifts (online, mail, events, stock/DAF notifications as applicable) and issue receipts/thank yous and notate any fund restrictions Database & data hygiene: Maintain accurate donor records in the CRM (e.g., address updates, deceased flags, duplicate cleanup); support periodic data clean-up milestones Lists, segmentation & exports: Prepare segmented lists for appeals, newsletters, Champions outreach, and sponsor/volunteer communications; maintain tags for grassroots/core/mid/major tiers and key audiences. Donor journeys support: Build/maintain campaign and journey lists; track responses; ensure new donors are enrolled and coded correctly for reporting. Stewardship support: Coordinate mailings, recognition lists, thank you call lists, donor notes, and sponsor fulfillment tracking; support Board ambassador tools and tracking. Event and campaign admin: Manage RSVP lists, tables/guest lists, sponsor deliverables trackers, pledge follow-up, and post-event data entry; ensure lead capture forms are processed and entered promptly. Reporting support: Produce routine reports for staff (daily/weekly gift reports, campaign result snapshots, donor lists); assist with monthly KPI inputs, grant reports and fiscal year close reconciliation with Finance. Administrative coordination: Calendar management, meeting prep, document templates, and coordination of donor communication inventory (letters, receipts, inserts, envelopes).
