Job DetailsDescriptionJob Summary:Provides high-level support on designated priority functions for the executive leadership team and the board at Roppe Holding Company. This role is vital to the efficient operation of the executive leadership team, requiring exceptional organizational, communication, and problem-solving skills. The Executive Assistant will manage employee events, complex calendars, coordinate travel, handle confidential information, and serve as a key liaison with internal and external stakeholders. This individual must be able to fill in for other Executive Assistants as well as anticipate needs, work independently, and operate with a high degree of discretion and professionalism in a fast-paced environment.ResponsibilitiesPlan, coordinate, and execute company events (e.g., employee appreciation events, milestone celebrations, Employee Meetings, and engagement activities)Schedule appointments, balance checkbooks, and travel arrangements for Don and Judy Miller,Provide high-level administrative support to executive leadership, ensuring alignment of priorities and smooth day-to-day operationsManage complex calendars, scheduling, and coordination across multiple stakeholdersCoordinate detailed travel arrangements (business and personal), including itineraries, accommodations, and supporting materialsPrepare meeting materials, presentations, and documentation for executive meetings, board meetings, and eventsServe as a liaison between executive leadership and internal teams, external partners, and key stakeholdersDraft, edit, and manage business communications, including correspondence, policies, and presentations, handling confidential information with discretionManage incoming communications (calls, mail, inquiries), prioritizing and directing as appropriateOversee administrative office functions, including supply management, calendars, and shared resourcesSupport coordination of company-wide processes, meetings, and events (e.g., board meetings, quarterly initiatives)Ensure upkeep and organization of office and common areasCoordinate logistics for executive-led initiatives, events, and engagementsComplete errands and provide hands-on support as needed to meet executive and business needsSupport special projects and ad hoc initiatives as assignedEssential FunctionsExcellent communication and interpersonal skills, with the ability to interact professionally with employees at all levels, executive leadership, external partners, and community stakeholdersStrong written communication skills, including the ability to draft, edit, and present clear and effective communicationsHighly organized and detail-oriented, with the ability to manage multiple priorities, events, and deadlines simultaneouslyDemonstrated proficiency in Microsoft Office and other business systems; ability to quickly learn and navigate new technologiesAbility to work independently, exercise sound judgment, and handle sensitive and confidential information with discretionStrong coordination and problem-solving skills, with the ability to anticipate needs and support executive and organizational prioritiesAbility to support and coordinate meetings, events, and logistics across multiple locationsAbility to remain in a stationary position for extended periods while working in an office environmentAbility to move throughout office, plant, and event locations as neededOccasional lifting, carrying, and handling of materials (e.g., event supplies, files, equipment)Ability to perform physical tasks such as reaching, bending, and transporting materials as neededEducation, Experience, And QualificationsHigh school diploma or GED equivalent required.Completion of a two-year degree or certification from a technical or junior college in secretarial science, administrative support, or a related field is preferred.Minimum of one year of experience in a secretarial, administrative, or related role required.Proficient in the use of computer applications and office software.
