Executive Personal Assistant Admin AssistantLocation: Dallas, TexasPosition Summary: The Executive Assistant provides high-level administrative support to the Chairman by managing the office of the Chairman, coordinating travel and scheduling, handling personal tasks and communications, and serving as a liaison with internal and external stakeholders. This individual will be proactive, discrete, and capable of managing a wide range of responsibilities that ensure the smooth operation of both professional and personal aspects of the Chairman's day-to-day activities.Key Responsibilities:Chairman Office SupportManage all scheduling of appointments and events for the Chairman and the PresidentServe as the primary point of contact for incoming calls and inquiriesDraft and edit correspondence, including references and recommendationsReview and sort all incoming mail for the ChairmanAct as liaison with internal departments regarding documents, meetings, and approvalsCoordinate business and leisure travel arrangements, including private plane schedulingPrepare and submit expense reportsMaintain the Chairman's personal records and bank deposit boxTrack birthdays and reminders for staff and familyCoordinate company, charitable, and personal eventsOversee monthly reconciliation and review of HLC Citicard business expensesMaintain and issue HLC Shareholder stock certificates and recordsPersonal AssistanceProvide personal support to the Chairman and family for various tasks and projectsSchedule and coordinate service vendors for multiple residences (Meadowood, Strawberry, Cabo)Oversee operations and maintenance of the Meadowood propertyReview and approve payments for medical insurance and benefitsSchedule and manage medical appointments for the familyLiaise with insurance brokers to manage property insurance policiesUndertake and execute special projects as neededCorporate Administration/HLCOversee and manage TREC professional memberships and real estate license renewalsTrack and process applications for sponsorships, renewals, and terminationsMaintain records for corporate and HLC license compliancePlan and manage the summer intern program, including coordination with university partnersWork with VP of Marketing to execute marketing and PR initiativesParticipate in company charitable and social committees as neededAssist with special projects and confidential assignmentsKey Skills/Behaviors:Excellent verbal and written communication skillsHighly organized and detail-oriented with ability to multitaskProficiency in Microsoft Office Suite and scheduling toolsDiscretion and confidentiality with sensitive informationStrong interpersonal skills to manage internal and external relationshipsAbility to work independently and proactively solve problemsHighly responsive. Willingness to respond periodically on weekends.
