We operate Aid Arena, a Slack-based platform serving 650+ accounts across 380+ organizations globally, enabling humanitarian, disaster response, and aid organizations to coordinate effectively during crises. Our mission is to unite aid providers—from local volunteers to global organizations—in seamless collaboration that maximizes collective impact and brings hope to communities in crisis.Role SummaryThe Academic Program Coordinator / Student Services role manages both administrative operations and student support for CollabOps Academy. You'll handle enrollment processing, course scheduling, database management, and student tracking while also serving as the primary point of contact for student questions, technical support, and engagement. This role is essential to our mission because exceptional student experience is what creates the word-of-mouth that grows the Academy and ensures students complete their training and apply new skills in the field. Your work creates the organizational systems and human connection that allow students to focus on learning rather than logistics.This role is a 100% volunteer position requiring approximately 6-10 hours per week. There are plans to convert this to a paid position pending future funding for our nonprofit.Key Responsibilities:Academic Program Coordination:Process student enrollments and maintain accurate records in Airtable databaseSchedule courses and coordinate instructor availabilitySend enrollment confirmations, course reminders, and completion certificatesTrack student progress through courses and certification tracksGenerate reports on enrollment, completion rates, and program metricsCoordinate with Academy Director on operational needs and improvementsStudent Services:Serve as primary contact for student questions and support requestsConduct student onboarding and orientation sessionsProvide technical troubleshooting for LMS and platform accessMonitor student engagement and proactively reach out to struggling studentsManage student communications via email and Slack channelsCollect and analyze student feedback through surveysFacilitate connections between students and the broader Aid Arena communityEnsure positive student experience throughout their learning journeySkills and CompetenciesOrganization and multi-tasking abilitiesClear written and verbal communicationProblem-solving and resourcefulnessEmpathy and student-centered mindsetTechnical aptitude and ability to learn new systems quicklyData management and accuracyProactive communication and follow-throughTime management and prioritizationPatience and positive attitude under pressureBonus: Experience with learning management systems (LMS)Bonus: Background in nonprofit, education, or humanitarian sectorsBonus: Customer relationship management (CRM) experienceBonus: Bilingual capabilitiesQualificationsAssociate's or Bachelor's degree preferred; relevant experience may substitute2+ years of experience in program coordination, student services, or administrative supportDemonstrated customer service excellence and student/client supportStrong organizational skills and attention to detailProficiency with databases and spreadsheets (Airtable experience a plus)Comfortable with technology platforms (LMS, Google Workspace, Slack, Zoom)Ability to commit ~20 hours/week from late January 2026 through July 2026 (6 month volunteer commitment)Available for responsive student support (typically weekday business hours)Passion for education and supporting adult learners
