From preconstruction through completion, our focus is simple: plan it right, execute it well, and deliver results.Job SummaryThe Project Coordinator is a key member of the Project Management team, supporting the successful execution of projects from award through closeout. This role serves as a central point of coordination across estimating, project management, field operations, and accounting to ensure projects are set up correctly, documentation is maintained, and processes run efficiently. The Project Coordinator manages a high volume of project activity simultaneously and plays a critical role in keeping projects organized, compliant, and on track.Duties and Responsibilities:Support Project Managers and Superintendents in the execution of projects from award through closeoutCoordinate job setup, including contract review, alignment with proposal scope, and onboarding of subcontractors and vendorsSchedule and coordinate project meetings, including handoffs and ongoing team communicationMaintain complete and organized project documentation in accordance with company standards, both physical and electronicManage project data entry and tracking in systems such as Viewpoint and HeavyJobAdminister contracts and project controls, including processing purchase orders, subcontracts, change orders, and related documentationMaintain compliance documentation, including insurance certificates, bonds, preliminary notices, lien releases, and project-specific program requirements such as OCIP, CCIP, and UCIPAssist with submittals and coordinate with subcontractors and suppliers through the review and approval processTrack and manage project startup and closeout requirements to ensure timely completionCoordinate with accounting to support billing, invoicing, job cost tracking, and subcontractor billings, ensuring accuracy and timelinessAssist with collections and maintain proper documentation of project financial activityMaintain daily reports, logs, and project records using standardized company proceduresTrack and document material deliveries, disposal, and recycling activitiesSupport estimating efforts, including bid documentation, subcontractor outreach, and prequalification submissionsParticipate in operations meetings and support continuous improvement of project processes and proceduresRequired Skills and Abilities:Strong organizational skills with the ability to manage multiple projects and deadlines simultaneouslyHigh attention to detail and accuracy in documentation and data managementAbility to work both independently and collaboratively across teamsEffective communication skills, both written and verbalAbility to prioritize tasks and perform under pressure in a fast paced environmentProfessional demeanor when interacting with all levels of the organizationStrong critical thinking and problem solving skillsHigh proficiency in Microsoft Office Suite including Word, Excel, and PowerPointAdvanced knowledge of Adobe Acrobat or similar toolsExperience with Viewpoint, InEight, and HCSS preferredFamiliarity with Textura, LCP Tracker, and Green Halo is a plusEducation and Experience:3 to 5 years of experience in the construction industry preferredExperience supporting project management or operations teams strongly preferredFamiliarity with construction terminology and processes preferredWorking ConditionsThis position is based in our Newark office and is not eligible for remote workWork is performed in an office environment and includes sitting, typing, and using a computer for extended periodsMay require occasional movement within the office to coordinate with team members and access project materialsNoise levels are typically low to moderate in an office settingMay require occasional travel to meetings or company locations as neededFERMA will provide reasonable accommodations as required by the ADA and applicable state lawDisclaimerThe duties and responsibilities listed above are intended to describe the general nature and level of work performed in this role.
