Description: ADHD & Autism Psychological Services and Advocacy (AAPSA) has an immediate opening for an Applied Behavior Analysis (ABA) Scheduling Coordinator! AAPSA is an agency that specializes in providing state-of-the-science assessment, treatment, educational and advocacy services in Central New York to children, adolescents and adults with neurodevelopmental disorders, with our ABA Program providing intensive treatment to individuals diagnosed with Autism Spectrum Disorder. Overview: The ABA Scheduling Coordinator is responsible for managing and coordinating schedules for assessments, therapy sessions, and staff coverage across multiple locations. This role requires effective communication with parents, staff, and outside providers, ensuring that all scheduling needs are met promptly and efficiently. Key Responsibilities: Client Scheduling: Manage client schedules when new clients are onboarded, including determining staff coverage needs and communicating start dates to parents. Weekly Coverage: Coordinate weekly coverage for Utica, Syracuse, and Norwich, ensuring that all clients receive the necessary services. Staff Availability and Time Off Requests: Monitor and update staff availability, time off requests, and ensure coverage for callouts. Client Cancellations: Manage client cancellations, update CR with appropriate reasons, and ensure all relevant parties are notified. Onboarding Schedule for New Staff: Create and manage training templates, schedule shadowing hours, and coordinate onboarding meetings with supervisors and BTs. Assessment Scheduling: Coordinate and schedule assessments upon authorization receipt, ensuring proper communication with parents and staff. Send electronic rating forms to parents as required. Communication: Maintain clear and consistent communication with parents, staff, and outside providers regarding scheduling changes, coverage, and other relevant updates. Qualifications: Experience in scheduling or administrative roles, preferably in a healthcare or behavioral health setting. Strong organizational skills and attention to detail. Ability to manage multiple tasks and prioritize effectively. Proficiency in using scheduling software and tools Excellent communication skills, both written and verbal. Ability to work independently and as part of a team.
