Associate of Coordinated Entry and Intake
Position SummaryThe Associate of Coordinated Entry and Intake provides essential operational, administrative, and programmatic support for the Coordinated Entry System (CES). Reporting to the Senior Manager of Coordinated Entry, the Associate is proficient in conducting client assessments, responding to inquiries, and maintaining accurate and timely data in HMIS, while also contributing to the operational effectiveness, implementation, and continuous improvement of the Coordinated Access System.This role supports system-wide alignment with HUD, Continuum of Care (CoC), and The Way Home Community Plan goals by helping translate policy into practice, strengthening frontline implementation, and supporting partner agencies in effective and consistent system use. In addition to delivering direct client services, the Associate assists with onboarding and training staff and partners, monitoring data quality and compliance, supporting workflow and process improvements, and contributing to system implementation and enhancement efforts.Key ResponsibilitiesConduct initial screenings and Coordinated Entry (CE) assessments following established guidelines, providing clients with basic support and referring them to appropriate services.Co-Manage incoming inquiries (calls, emails, texts, chats) from clients and partners, ensuring a 72-hour response time. Escalate complex or urgent cases to the Associate or Senior Manager as needed.Assist with basic on-site service delivery ("in-reach") efforts at service provider locations as directed, providing additional support for client assessments.Support specialized projects within the CES, including the rollout of new initiatives to ensure they meet the evolving needs of the community.Support data quality and compliance, completing monitoring, reports and audits as instructed and that any identified issues are addressed.Organize and prepare materials for trainings and workgroups, and facilitate sessions to support effective learning and collaboration among the CoC.Foster collaboration and engage with agencies, government entities, community groups, and service providers to enhance service delivery, support continuous improvement, and ensure CES operations reflect the needs of people experiencing homelessness.Study and develop knowledge base in CE prioritization, HUD regulations, and homeless response system best practices.Provide support during disaster response efforts, assisting with intake and referrals under the direction of senior manager.Perform other duties as assigned to support the daily operations of the Coordinated Access System.Qualifications, Skills & ExperienceBachelor's Degree in social work, public health, public policy, social sciences, data sciences or related fields or 8 years of experience in Homeless Response System; coursework in social services or human services.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)3 years of Experience with Homeless Management Information System (HMIS) or similar management database.Minimum of 3 years of experience working within a Homeless Response System, Continuum of Care (CoC), or similar coordinated system, with exposure to cross-agency collaboration and system-wide processes.Minimum of 2 years of experience working within a Coordinated Entry (CE) system or a comparable screening, triage, or eligibility-based access system.Familiarity with HUD or Continuum of Care (CoC) guidelines.Spanish language proficiency is an asset.Demonstrated ability to work independently, manage multiple projects, and deliver high-quality, timely outputs.Capacity to monitor systems or programs and identify concerns while also offering support, technical assistance, and guidance toward achieving successful results.A valid driver's license and insurance for local travel within a 3-county service area.Attention to Detail: Ensures all client interactions and data are accurately recorded, following established protocols.Customer Service Orientation: Provides compassionate, high-quality service to individuals seeking housing assistance.Team Support: Works collaboratively with associates and senior staff to support the overall goals of the Coordinated Access SystemOperational Agility: Demonstrates the ability to manage complex projects and operational challenges effectively and independently.Collaboration: fosters collaborative relationships across the organization and with external partners.Problem-Solving: Identifies challenges, analyzes potential solutions, and implements effective strategies to address issues as they arise.Innovation: Continuously seeks to improve processes and programs, incorporating new methods and perspectives to achieve better outcomes.Communication: Exhibits strong communication skills, with the ability to articulate complex ideas clearly and effectively to a wide range of audiences.
