Executive Assistant
North Bethesda, MD, (1-4 days/month in office)
$34-35/hour during contract period
Conversion salary: $70,000-$75,000
The Choice is partnering with a public health nonprofit- we are seeking an experienced Executive Assistant for a temporary-to-hire opportunity supporting the organization's Chief Communications & Marketing Officer.

Responsibilities
Executive Support
Manage a complex executive calendar, scheduling meetings and coordinating logistics
Prepare presentations, reports, correspondence, and executive materials
Coordinate travel arrangements and process expense reports
Organize internal and external meetings, including agendas and meeting materials
Record meeting minutes for board committee meetings as needed
Project & Department Coordination
Maintain project trackers and monitor deadlines across the Communications & Marketing team
Track items requiring executive review, approval, or follow-up
Assist with departmental reporting, KPI tracking, and status updates
Coordinate vendor outreach during proposal and bid processes
Provide administrative and project support for communications, marketing, and digital initiatives
Help coordinate timelines for major organizational events and annual publications
Budget & Operations
Assist with annual budget planning and monthly budget tracking
Monitor invoices and expenditures and ensure timely approvals
Support financial administration for departmental projects
Help develop and maintain systems that improve departmental efficiency and organization
Qualifications
Bachelor's degree or equivalent professional experience
5-7 years of executive or senior-level administrative support experience
Experience supporting C-suite or executive leadership strongly preferred
Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
Experience with budget tracking, expense reporting, or financial administration
Outstanding organizational skills and ability to manage multiple priorities
Excellent written and verbal communication skills
High level of professionalism, discretion, and attention to detail
Experience in a nonprofit environment is a plus
Familiarity with communications, marketing, or project management teams is preferred
