Information Technology Systems Administrator Department: Information TechnologyReports To: Head of Information TechnologyLocation: Menlo ParkEmployment Type: Full-TimePosition Summary The Information Technology Systems Administrator plays a critical role in delivering reliable, secure, and user-focused technology services across the organization. This position is responsible for managing, maintaining, and optimizing IT infrastructure, endpoint systems, SaaS applications, and core technology platforms to ensure a seamless and positive experience for all users.With a strong emphasis on customer support, this role serves as a key point of contact for internal stakeholders, ensuring timely resolution of technical issues, clear communication, and a high standard of service delivery. The Systems Administrator proactively monitors system performance, identifies potential issues before they impact users, and implements solutions that enhance system reliability, security, and overall user satisfaction.In addition to maintaining operational stability and compliance with security standards, the ideal candidate acts as a trusted partner to the business translating technical concepts into user-friendly guidance, supporting employees with varying levels of technical expertise, and continuously improving IT processes to better meet organizational needs.The successful candidate combines deep technical knowledge with a customer-first mindset, demonstrating responsiveness, empathy, and a commitment to delivering efficient, secure, and user-centric IT solutions.Key Responsibilities  Endpoint Systems Administration & SupportDeploy, configure, and maintain Windows, and macOS, endpoint devices.Manage endpoint lifecycle including provisioning, imaging, patching, upgrades, and decommissioning.Administer endpoint management platforms (e.g., Intune, Jamf, AutoMox,).Provide technical support for hardware, OS, and enterprise applications.Enforce endpoint security policies, encryption, antivirus, and compliance standards.Monitor and remediate endpoint vulnerabilities.SaaS Application Administration and OwnershipAdminister and support SaaS platforms such as Microsoft 365, Google Workspace, Slack, Zoom, DropBox, OKTA, Checkpoint SASE, Beyond Trust, and other business-critical applications.Manage user provisioning and de-provisioning through identity platforms (e.g., Azure AD, Okta).Maintain role-based access controls (RBAC) and least-privilege principles.Troubleshoot application issues and coordinate with vendors when necessary.Evaluate and implement new SaaS tools aligned with business requirements.Maintain documentation for SaaS configurations and workflows.Identity & Access Management (IAM)Manage Active Directory, AD, and OKTA or equivalent directory services.Configure and maintain SSO and MFA solutions.Conduct periodic access reviews and audits.Implement secure authentication and authorization policies. Security Monitoring & LoggingMonitor system, network, and application logs for suspicious activity.Administer logging and SIEM platforms (e.g., Sumo, Sentinal, etc.).Investigate and respond to security alerts and incidents.Support vulnerability scanning and remediation efforts.Maintain compliance with security frameworks (e.g., SOC 2, PCI, PEN Testing, etc., if applicable).Collaborate with security teams to improve detection and response capabilities.Weekly logging and reporting documentation. Infrastructure & Systems AdministrationMaintain on-premises and/or cloud infrastructure (AD, Azure, GCP).Administer servers (Windows), virtualization platforms (VMware).Perform system backups, disaster recovery planning, and business continuity testing.Ensure high availability and performance of critical systems.Maintain network services including DNS, DHCP, VPN, and firewalls (as applicable).Patch Management & UpdatesManage patching processes for servers, endpoints, and applications in JAMF and AutoMox.Test updates prior to deployment to minimize disruption.Maintain patch compliance reporting.Documentation & Process ImprovementCreate and maintain technical documentation, system diagrams, and standard operating procedures.Identify opportunities to automate repetitive tasks using scripting (AI, PowerShell, Bash, Python, etc.).Contribute to continuous improvement of IT processes and security posture.Use AI tools to implement and improve IT tasks and functions.Maintain daily Wiki updates to IT documentation updates.Asset ManagementTrack and manage IT assets and licensing.Support procurement and renewal processes.Employee Access Provisioning and De-provisioning – Key Responsibilities·      Coordinate and execute timely on-boarding of new employees by provisioning system access, hardware, and SaaS applications based on role requirements·      Deliver a smooth, white glove and welcoming on-boarding experience by ensuring all technology is fully functional on day one.·      Manage user account creation, permissions, and group memberships across systems in alignment with least-privilege and security policies·      Serve as a point of contact for new hires, providing guidance on tools, access, and IT resources·      Process off-boarding requests by promptly revoking system access, securing company data, and recovering assigned equipment·      Ensure all access changes (on-boarding, role changes, off-boarding) are completed accurately and within defined SLAs·      Partner with HR and managers to validate access needs and maintain up-to-date user access records·      Conduct regular audits of user accounts and permissions to ensure compliance with security and. governance standards·      Maintain clear documentation of provisioning processes and continuously improve workflows for efficiency and user satisfaction·      Provide responsive support for access-related issues, ensuring minimal disruption to employee productivity IT Support for users in all corporate locations and Remote staff.·      IT support ticket processing and resolution in JIRA Service Desk.·      Respond to and resolve support requests that users will send over Slack.·      Physical support as needed by ticket or desk visit by staff in the Menlo Park office. Required QualificationsBachelor’s degree in information technology, Computer Science, or related field (or equivalent experience).3 to 5+ years of experience in systems administration or related IT role.Strong knowledge of Windows and Mac endpoint and server environments.Experience with endpoint management and MDM platforms.Experience administering SaaS platforms and identity management systems.Familiarity with security logging, SIEM tools, and incident response processes.Understanding of networking fundamentals (TCP/IP, DNS, VPN, firewalls).Experience with cloud platforms (Azure, AWS, or Google Cloud).Strong troubleshooting and analytical skills.Excellent written and verbal communication skills.Preferred QualificationsRelevant certifications (e.g., Microsoft, JAMF, Azure/Entra Administrator, AWS SysOps, CISSP, etc.).Experience in regulated environments (e.g., SOC 2, PCI).Experience with automation and scripting.Familiarity with zero-trust security principles.Key CompetenciesProblem-solving mindsetAttention to detailStrong security awarenessCustomer service orientationAbility to prioritize and manage multiple tasksTeam collaborationAbilityWorking ConditionsOnsite work is required at a minimum of two days per week in our Menlo Park office.On WFH days you will be expected to be online and available for immediate support related tasks, project work and daily routines.Will require after-hours work as needed or weekend support.Participation in on-call rotation may be required.Ability to lift and move IT equipment (up to [75] lbs).
