Administrative Assistant and Human Resources Officer

Experience: Administrative or secretarial experience supporting senior leadership. Experience coordinating domestic and international travel. Experience preparing expense reports and managing executive calendars. Experience handling correspondence, mail distribution, and visitor coordination. Responsibilities: Independently manage and maintain the executive calendar, resolving conflicts proactively. Coordinate complex domestic and international travel and prepare detailed itineraries. Screen incoming calls and direct inquiries appropriately. Remain informed of executive priorities, commitments, and key issues. Maintain long-term planning calendars and Outlook calendars. Collaborate with leadership teams to execute high-priority tasks. Complete assignments independently and ensure coverage during absences. Collect, review, and distribute incoming electronic and hard-copy mail. Arrange courier and media services as needed. Modify travel plans and communicate updates to stakeholders. Prepare and submit detailed expense reports. Coordinate internal and external meetings, including facilities, technical support, conferencing, and catering. Manage internal and external visitors, including security notifications and workspace coordination. Track office supplies and place replenishment orders. Oversee executive conference room scheduling and upkeep. Provide administrative support to key direct reports, including travel arrangements and meeting coordination. Should Have: Strong interpersonal and customer service skills. Ability to work flexibly in a fast-paced executive environment. Advanced skills in meeting coordination and travel planning.
