Guest Services Representative

Primary Responsibility: The Guest Service Representative position involves a high degree of public interaction and ensures daily operations of the facility are ran in a positive and professional manner. Position is responsible for championing and delivering consistent, exceptional service to guests in a fun and welcoming environment. This position is responsible for receiving and answering inquiries from the public by telephone, via email, or in person on a wide range of services/programs, rates, policies and procedures. This position is also responsible for completing point of sale transactions, handling program registrations, group reservations and rentals, passes and collecting admissions. In addition, the Guest Service Representative will ensure that safety standards are followed by doing regular walk-throughs and light cleaning to make sure all guests have a positive experience while visiting the Parks and Recreation Community Center. With attention to detail assists guests with registration, waivers, and information for all programs, facility use, and memberships in a friendly and professional manner demonstrating high standards of customer service. Collects appropriate and accurate admission, class, and membership fees. Utilizes the cash register and point of sale software according to county guidelines. Counts cash register drawer at the end of each shift/day. Answers, screens, and transfers calls in a positive, professional, and knowledgeable manner, and makes phone calls as assigned. Maintains account records of participants according to established procedures using specialized software. Opens and closes Community Center according to procedures and checklists. Ensures that residency is verified and correct guest registration information is collected Schedules general facility rentals and reservations; to include the multi-purpose room, gymnasium, lounge, swimming pools, barn and outdoor arena functions. Responsibilities include, but not limited to; receiving rental request forms, customer relations, payments, room set-ups, room take- downs and ensures cleanliness before and after rentals. Opens and closes facility, and performs regular building checks/walk-throughs to ensure safety and cleanliness. Spot cleans fitness equipment and floors, organizes common areas and weight room when needed. Performs other duties and special projects as assigned by the Guest Services Coordinator. Qualifications for Success: Technical Knowledge: Basic knowledge of HTML is preferred. Proficiency with MS Office Suite required. Knowledge of recreation software and point of sale is preferred. Ability to: Establish and maintain courteous and effective working relationships with employees, the public and other agencies. Accurately and effectively transmit and receive information that is necessary to the accomplishment of goals and objectives, including effective written and oral communications in English; and the ability to listen. Work efficiently and effectively as a team member within the department. Exercise independent judgment. Understand, interpret and communicate policies, procedures, code of conduct and protocols. Work in a fast-paced environment. Successful candidate will be personable and friendly, have a great phone demeanor, possess a positive 'can-do' attitude, and be deadline and detail oriented.
