Executive AssistantWe are looking for a high performing, committed to accelerating their career growth by providing executive, personal and administrative support to our Chief Executive Officer's office. The ideal Executive Assistant is highly discrete and has experience managing the demands and opportunities associated with the uniqueness of an high net worth household. The selected candidate will be deeply rooted in the CEO's day-to-day activities serving as executive and personal assistant, while also assisting with administrative tasks as needed. Associate will be executing administrative tasks, coordinating personal arrangements, overseeing travel and experiences, providing support and backup for the Office Manager, and executing special projects.
Responsibilities include:
CEO:
Manage calendar and scheduling of meeting, events, and appointments.
Answer/respond to calls, messages in a timely manner. Direct phone calls in a friendly and professional manner to recipients
Monitor emails closely, direct emails to appropriate departments/personnel, respond as appropriate
Manage incoming and outgoing deliveries, mail, etc.
Expense management, reports, bookkeeping
Perform other duties as assigned or evolved.
Office Assistant:
Functions as administrative support to the company and ensure needs are met and great service is provided.
Brings concerns and solutions to the attention of the CEO as needed.
Receives deliveries; picks up, sorts, and delivers incoming mail.
Takes inventory of office supplies and orders to restock as needed.
Manages the breakroom supplies, dishes, and cleaning as needed.
Brings concerns and solutions to the attention of the Office Manager as needed.
Assists in event planning as needed by the direction of the Office Manager and HR Manager.
Promotes a safe work environment and appropriately reports any safety concerns.
Performs other duties as assigned or evolved.
Requirements:
Bachelor's degree-Preferred, 5 + years of experience in lieu of education Record of success in improving processes
Excellent project management skills
Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage lateral and upwards.
Experience with a CRM database is appreciated (e.g., ZOHO, Microsoft BC or similar)
Experience in bookkeeping, accounting, excel as a plus
Emotional maturity, professional mindset, and the utmost discretion
Minimum of 2-5 years related experience.
Strong communication skills, both written and verbal
Ability to lift up to 50 pounds as needed.
Work authorization in US
Criminal Background check is required.
