This individual will handle complex scheduling, manage sensitive communications, coordinate internal and external meetings, and prepare critical documents and reports. The Executive Assistant will be expected to exercise sound judgment, maintain confidentiality, and proactively anticipate the needs of the COO in a dynamic environment. Success in this role requires exceptional organizational skills, attention to detail, and the ability to interact effectively with senior leaders and stakeholders across the organization.ResponsibilitiesManage complex and dynamic calendars for the COO, including scheduling meetings, appointments, and travel arrangements, while anticipating and resolving conflicts proactively. Coordinate and prepare high-level meetings, including gathering materials, preparing agendas, and ensuring all participants have necessary information for productive discussions. Draft, review, and manage sensitive correspondence and communications for the COO, maintaining strict confidentiality and professionalism at all times. Serve as a liaison between the COO and internal/external stakeholders, facilitating effective communication and representing the COO with professionalism and discretion. Prepare, edit, and distribute reports, presentations, and other key documents to support strategic decision-making and operational efficiency. Monitor and prioritize incoming requests, emails, and inquiries, ensuring timely responses and follow-up actions as needed. Coordinate special projects and initiatives on behalf of the COO, tracking progress, managing timelines, and collaborating with cross-functional teams. Maintain organized files and records related to the COO’s activities, ensuring accurate documentation and easy retrieval of information. Support expense management, including processing invoices, reimbursements, and budget tracking for the COO’s office. Uphold the highest standards of integrity and professionalism in all interactions, contributing to a positive team culture and operational excellence. Completion of adhoc projects as needed, as well as providing support to the greater organization supporting the office of the COO. Required QualificationsBachelor’s degree or equivalent professional experience preferred. Minimum of 5 years supporting C-suite executives in a fast-paced environment. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms. Professional demeanor and exceptional interpersonal skills for interacting with senior leadership and external partners. Strong verbal and written communication skills Demonstrated capacity to achieve results in a dynamic setting. Organizational and administrative skills that reflect attention to detail and the ability to prioritize amidst competing demands. Skilled in managing sensitive information while upholding privacy. Handling workload and special projects efficiently. Ability to work both independently and within a team environment.
