Administrative Assistant

Job Description Robert Half has an exciting long term contract opportunity with a local government entity in Half Moon Bay. We are seeking a highly organized and service-oriented Municipal Administrative Assistant to support Community Development including both the Building & Permits Department and the Public Works team. This role serves as a key point of contact for residents, contractors, and internal staff, ensuring efficient administrative operations and exceptional customer service across departments.Key ResponsibilitiesProvide front-line administrative support for Building & Permits and Public Works operations, including answering phones, responding to emails, and assisting walk-in inquiriesAssist with the intake, processing, and tracking of building permit applications, ensuring accuracy and completeness of documentationCoordinate inspections, maintain scheduling calendars, and communicate updates with inspectors, contractors, and residentsMaintain and update records, databases, and filing systems in compliance with municipal regulations and retention policiesPrepare correspondence, reports, and public notices related to permits, projects, and public works activitiesSupport Public Works functions such as work order tracking, service requests, and project documentationProcess payments, fees, and invoices related to permits and municipal servicesLiaise with internal departments to facilitate cross-functional communication and project coordinationAssist with public information requests and ensure transparency and responsiveness to community needsEnsure compliance with local ordinances, policies, and proceduresQualifications2+ years of administrative experience, preferably within a municipal or government settingFamiliarity with building permits, planning, or public works processes is highly desirableStrong customer service skills with the ability to interact professionally with the public, contractors, and city staffProficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with permitting or municipal software systems is a plusExcellent organizational skills with strong attention to detail and ability to manage multiple prioritiesStrong written and verbal communication skillsAbility to handle confidential information with discretion
