Executive AssistantVeterinary Practice Partners (VPP) is an industry-leading service company that partners with Veterinarians to co-own and manage their veterinary practices. VPP provides support and leadership for marketing, financial, operations, IT and human resources functions while the veterinarian leads the clinical and client services functions. VPP currently has 170+ partner hospitals with 3,000+ employees and continues to experience tremendous growth. VPP is a dynamic, profitable growth company with strong financial backing from a private equity firm.
The Executive Assistant is responsible for the day-to-day administrative support of the senior leadership team, onsite management of the new Waltham MA office, and other projects, as assigned.
VPP is looking for someone with the skills and ambition to grow with the company and the new Waltham office as they experience continued growth.
The role requires excellent communication and organizational skills and the ability to thrive in a fast-paced environment. The ideal candidate will be a trusted partner to the senior leadership team, including the Chief Financial Officer, Chief Operating Officer, Chief Administrative Officer, and several other Vice Presidents, helping to optimize their efficiency by managing administrative tasks, coordinating key projects, and maintaining confidentiality in all matters. The Executive Assistant must be proactive, detail-oriented and collaborative with a positive, can-do approach to challenges.
Administrative Support for VPP Senior Leadership TeamManaging calendars, scheduling meetings, and coordinating travel arrangements
Taking notes, handling email, phone calls, acting as a point of contact for the executives, and other communication
Preparing reports, presentations, and other documents as needed
Supporting logistics for VPP strategic events and board meetings
Preparing and processing travel expense reportsOnsite Management of the Waltham MA OfficeManaging the front desk and greeting visitors
Coordinating facility maintenance and enhancement projects
Ensuring a smoothly operating office environment, including supplies, printers, kitchen, conference rooms, and security access cards
Receiving, scanning, and routing mail and other important office documentsQualifications:
Bachelor's degree.
3+ years minimum relevant experience.
Strong organization skills
Strong verbal and written communication skills, with a high sense of urgency and ability to effectively communicate sensitive and confidential information.
Detail-oriented with a high level of accuracy and thoroughness.
Able to work independently as well as within a team.
Proficiency in data entry and Microsoft computer applications and ability to be trained in other computer applications
Annual salary range: $70,000$80,000, based on experience and qualifications.
