Sales Coordinator for Hotel
Position Summary:
The Sales Coordinator plays a vital role in supporting the sales and operations teams
by coordinating group room blocks, meeting space rentals, and associated billing
activities. This part-time position is ideal for a highly organized, detail-oriented individual
who enjoys guest interaction, thrives in a fast-paced hospitality environment, and is
committed to delivering outstanding service in line with Marriott brand standards.
Key Responsibilities:
Group Room Blocks & Reservations
Coordinate group reservations and room blocks including inputting group blocks into Marriott systems (CI/TY or other applicable platforms).
Communicate group booking details and rooming lists to Front Office and Housekeeping teams.
Monitor pickup reports and room block cut-off dates; communicate updates to clients and internal departments.
Prepare and distribute group resumes and BEOs (Banquet Event Orders) as needed.
Meeting Room Rentals
Respond to meeting room inquiries via phone and email in a timely and professional manner.
Provide quotes, prepare sales proposals, and assist with contract generation for meeting space rentals.
Coordinate room setup, audiovisual needs, and F&B requests with relevant hotel departments.
Ensure proper execution of events and follow-up with clients post-event to gather feedback.
Billing & Administrative Support
Assist with billing, invoicing, and payment tracking for group rooms and meeting spaces.
Review group folios for accuracy and work with the accounting team to resolve discrepancies.
Maintain organized digital and physical filing systems for contracts, invoices, and correspondence.
Order and manage collateral, sales kits, and office supplies as needed.
Internal Communication & Reporting
Maintain up-to-date sales reports and logs for weekly sales meetings.
Support Sales and General Manager in preparing business review materials and reports.
Participate in internal meetings and occasional Marriott brand trainings.
Qualifications:
Education & Experience
High school diploma or GED required.
Minimum 1 year of experience in hotel sales, front office, or event coordination preferred.
Skills & Abilities
Strong organizational and time-management skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Familiarity with Marriott systems (CI/TY, MARSHA, LightSpeed) is a plus.
Ability to handle sensitive guest information with discretion and professionalism.
Physical Requirements:
Must be able to sit and use a computer for extended periods.
Occasional lifting of materials up to 25 pounds.
Ability to occasionally walk or stand for short site tours or meetings.
Work Environment:
Office environment within the hotel; occasional interaction in public areas or meeting rooms.
Professional appearance and demeanor required in accordance with Marriott brand standards.
Job Type: Full-time
Pay: $12.00 - $15.00 per hour
Expected hours: No more than 35 per week
