This view allows us to utilize energy-efficient technologies to design solutions that drive optimal performance which in turn helps combat climate change.We are experiencing explosive growth and are looking for a Contract Coordinator to join our team.This is a fully remote position.Job Summary:The Contract Coordinator is responsible for managing the entire lifecycle of contracts, from initial setup to closure. This role involves maintaining effective communication with internal departments and external clients, ensuring accurate data entry, and supporting various teams including sales, operations, and finance. The Contract Coordinator will set up billing portals, assist with invoicing, and provide certificates of insurance. Additionally, the role includes generating reports, assisting with month-end closing duties, and monitoring contract statuses to ensure timely and accurate contract management.Duties/Responsibilities:Back-up Unanet Administrator.Set up and maintain customer files.Undertakes additional responsibilities as required.Supports all aspects of contract lifecycle management, including the initiation of new projects in the company's A/E software, SharePoint filing, and data entry.Maintains a high standard of both written and verbal communication with internal departments and external client contacts.Collaborates with sales, operations, and finance departments to manage awards, assignments, and invoicing stipulations as specified by the contract.Establishes billing portals and/or pay applications for new contracts and assists the coordinator team throughout the invoicing process.Assists the finance team with month-end closing activities.Secures insurance certificates from vendors or brokers as required by client contractual terms, both on an ad hoc basis and annually.Generates weekly and monthly reports and assists in compiling information for annual reporting requirements from company software.Monitors the status of all existing contracts via the company’s A/E software to ensure timely closure.Design and implement controls, in collaboration with the Senior Contract Manager and Controller, to ensure the process and data integrity of all billing related processes, all contract compliance, and contract fidelity. Contract fidelity is defined as the measurement of the contract execution against the original contract design and intent. This includes the development of any necessary reporting needed to measure compliance with established controls.Performs other duties as assigned.Qualification Requirements: Excellent verbal and written communication skillsExcellent customer service skills.Excellent organizational skills and attention to detail.Excellent time management skills with a proven ability to meet deadlines.Strong analytical and problem-solving skills.Ability to prioritize tasks.Ability to function well in a high-paced environment.Works well both independently and in a team environment.Proficient with Microsoft Office Suite or related software.Education and Experience: Bachelor’s degree preferred.2-5 years’ of contracts experience (financial services/vendor contracts preferred).Ability to liaise with senior level partners.Experience with an A-E or construction firm preferred.Prior knowledge using Unanet preferred.
