Operations Coordinator - Commercial Roofing

This individual serves as the central hub between customers, service teams, project managers, and vendors. The role blends office management with service coordination responsibilities, including scheduling, permitting, warranty tracking, payroll and supporting service and maintenance operations. The right candidate is organized, detail-oriented, and thrives in a fast-paced, customer-focused environment.KEY RESPONSIBILITIESCoordination with Operations TeamPartner with Project Managers and Service Managers to prioritize work and manage workloadManage vendor scheduling for on-site equipment (dumpsters, porta potties, etc.) to ensure timely delivery and removalCoordinate travel arrangements for field crews traveling to job sites, ensuring accommodations and logistics are in place ahead of mobilizationSupport planning for maintenance programs and recurring service contractsHelp ensure smooth handoffs between sales, service, and productionService Coordination & SchedulingCoordinate and schedule service calls, inspections, and maintenance workDispatch service crews and technicians based on priority, geography, and scopeCommunicate schedules, updates, and changes to customers and internal teamsTrack job progress and ensure timely completion of service workPermitting & ComplianceCoordinate with vendor on permitting process for all projectsSchedule permitting inspections with local municipalities for in-progress and final project phases to maintain compliance and avoid delaysMaintain compliance documentation and job recordsWarranty & Documentation ManagementSubmit and track manufacturer and workmanship warrantiesMaintain organized records of warranties, inspections, and completed workCoordinate warranty claims and follow-ups with vendors and manufacturersCustomer CommunicationServe as the primary point of contact for service-related inquiriesProvide timely updates to customers on scheduling, job status, and completionEnsure a high level of professionalism and responsiveness aligned with company standardsOffice & Administrative ManagementOversee day-to-day office operations and keep internal systems organizedSupport invoicing, work orders, and job documentation from initiation through close-outMaintain job files, service logs, and internal reporting systemsCollect, review, and submit technician timecards accurately and on deadlineHandle payroll processing by converting crew timecard sheets and submitting to payroll departmentAssist leadership with operational tracking and reportingQUALIFICATIONSRequired3-7+ years in office management, project coordination, or construction administrationHighly organized with strong attention to detail and the ability to manage multiple priorities simultaneouslyStrong written and verbal communication and customer service skillsProficiency in Microsoft Office (Excel, Outlook, Teams)Experience with CRM, ERP, or service management softwareComfortable working with both field teams and operations leadershipPreferredExperience in commercial construction or roofing is strongly preferredExperience with permitting, scheduling, or service operations is highly valuedFamiliarity with warranty tracking and vendor coordinationBilingual (English/Spanish) a plusFinal compensation will be based on experience, skills, and location.US Pay Range{{:}} $60,000 USD - $75,000 USDThank you for considering a career with Quality Trusted Commercial.
