Accounting Assistant (Part-Time)The Accounting Assistant supports day-to-day accounting operations with a focus on accounts payable, accounts receivable, collections, and payment processing. This part-time, fully onsite role requires strong QuickBooks skills, accuracy in handling high volumes of invoices, and the ability to manage multiple payment portals. The position reports to the Office Manager and works in a small, close-knit, casual, dog-friendly office with flexible part-time scheduling options.ResponsibilitiesPerform daily accounting duties and maintain accurate, up-to-date financial records.Manage accounts receivable, including monitoring aging reports and performing collections activities for customer invoices.Handle accounts payable, including processing approximately 100 vendor invoices per week and ensuring timely and accurate payments.Process payments through various methods, including credit cards and ACH transactions, and prepare bank deposits.Monitor and manage customer payments across multiple online portals, ensuring all payments are accurately recorded and reconciled.Maintain and update accounting records using QuickBooks Desktop and Wholesail, ensuring data integrity and consistency.Create, review, and process invoices and purchase orders, ensuring all documentation is complete and accurate.Provide phone support for accounting-related inquiries, including answering questions from customers and vendors in a professional and courteous manner.Utilize Microsoft Excel and other office tools to support accounting tasks, reporting, and data analysis as needed.Perform general administrative tasks such as answering phones, filing, and supporting the office team with routine tasks.Collaborate closely with the Office Manager and COO, supporting a small team and assisting with additional tasks as needed.Wear multiple hats and proactively assist in other areas of the office when required, contributing to a cooperative and team-oriented environment.Essential SkillsAt least 5 years of experience in accounting or bookkeeping roles, with some flexibility based on overall fit.Proficiency with QuickBooks Desktop, including entering, updating, and reconciling accounting data.Hands-on experience with accounts payable, including processing vendor invoices and managing payments via credit cards and ACH.Hands-on experience with accounts receivable, including invoicing, aging/collections, and credit management.Experience processing payments and preparing bank deposits with a high degree of accuracy.Ability to manage and enter data accurately across multiple customer portals and systems.Strong attention to detail and accuracy when handling financial data and documentation.Effective time management skills, with the ability to prioritize tasks and handle a steady volume of work.Clear and professional phone communication skills, with a customer service mindset when dealing with customers and vendors.Proficiency with basic office software, including Microsoft Excel, for accounting-related tasks.Additional Skills & QualificationsExperience with Wholesail or similar accounting or billing platforms is a plus, though not required.Background in bookkeeping, including invoicing and purchase order processing, is highly beneficial.Comfort working with both accounts payable and accounts receivable in a small business environment.Ability to adapt and take on a variety of tasks in a small, close-knit team setting.Strong organizational skills and the ability to maintain orderly records and filing systems.Comfort working in a small company environment where collaboration and flexibility are essential.Interest in a long-term role supporting a stable organization where the previous person in the role is retiring.Work EnvironmentThis is a fully onsite, part-time position in a small, close-knit office of approximately 16 employees, with three people working regularly in the office, including the Office Manager, the COO, and this role. The workplace offers a casual, dog-friendly atmosphere with a friendly, "mom and pop shop" feel. The schedule is part-time and flexible within business hours, typically 5 days per week for 5 to 6 hours per day or 4 days per week for 6 to 7 hours per day. The role uses QuickBooks Desktop, Wholesail, multiple customer payment portals, and standard office tools such as Microsoft Excel.
