After this window, the position will be opened to external candidates.Qualified internal employees are strongly encouraged to apply within this timeframe.Position Overview The Talent Acquisition Assistant is an entry-level, developmental role designed for individuals looking to begin a career in recruiting and human resources. This position provides hands-on experience supporting a fast-paced Talent Acquisition team with a strong focus on communication, coordination, and execution.This role is critical to delivering a responsive, organized, and high-quality candidate experience while supporting recruiters, hiring managers, and internal stakeholders.High performers in this role will have a clear growth path into a Talent Acquisition Coordinator position.Key Responsibilities Interview & Calendar Coordination Schedule phone screens, virtual interviews, and onsite interviews across multiple recruiters and hiring managersManage high-volume recruiting calendars, including interview availability and scheduling changesCoordinate interview logistics including confirmations, calendar invites, reminders, and reschedulesEnsure a seamless scheduling experience for both candidates and internal stakeholdersRecruiting Inbox & Communication Management Support management of the Recruiting inbox, ensuring all incoming communication is reviewed, prioritized, and responded to in a timely mannerRoute candidate, school, and internal inquiries to the appropriate team members while ensuring follow-up is completedIdentify urgent or high-impact messages and escalate appropriatelyPin, organize, and forward critical communications to recruiters and stakeholdersDraft professional, consistent responses on behalf of the recruiting team when neededEnsure no communication is missed, delayed, or left unresolvedExternship & School Outreach Support Research and maintain a database of Medical Assistant (MA), Licensed Practical Nurse (LPN), and Nurse Practitioner (NP) programs across target marketsBuild and maintain relationships with school program coordinators, career services, and administrators to support externship and pipeline developmentCoordinate and track externship opportunities, student placements, and outreach activityAssist in planning and scheduling school visits, career fairs, and recruiting eventsMaintain organized outreach and event calendars by recruiter and marketMonitor, route, and respond to externship-related communication and inquiriesEnsure all outreach efforts are tracked and followed through consistentlyOrientation & Onboarding Support Assist with new hire orientation logistics and preparation to ensure a smooth onboarding processSupport pre-start communication and documentation collection in partnership with recruiters and HRHelp coordinate onboarding timelines and communicate updates to internal teamsParticipate in orientation and assist with communication of any changes to stakeholdersAdministrative & Recruiting Operations Support Assist with recruiting reports, metrics tracking, and documentationMaintain recruiting trackers, outreach logs, and event calendarsSupport process organization and consistency across the Talent Acquisition teamProvide general administrative support as neededPerform other related duties as assignedWhat We're Looking For Strong communication skills (written and verbal) with a professional, polished approachHighly organized with the ability to manage multiple priorities and deadlinesStrong attention to detail and follow-throughAbility to handle sensitive information with confidentiality and professionalismComfortable working in a fast-paced, high-volume environmentInterest in building a career in Talent Acquisition or Human ResourcesWhy This Role Direct exposure to full-cycle recruiting operationsHands-on experience with scheduling, candidate experience, and talent pipelinesOpportunity to work closely with recruiters, hiring managers, and leadershipClear path for advancement into a Talent Acquisition Coordinator role based on performanceCore Values Compassionate Care | Unity | Accountability | Commitment | Continuous Improvement | Integrity | EfficiencyPowered by JazzHR
