We’re seeking a proactive and detail-oriented Operations Coordinator to join our Business Operations team. This role plays a vital part in supporting both internal operations and client-facing activities.
Key Responsibilities
Provide administrative support across client projects as assigned by management
Field and respond to phone and email inquiries, primarily from pharmaceutical sales representatives
Assist representatives with navigating internal systems and tools
Review daily expense submissions and develop audit reports
Research state licensing requirements and prepare applications on behalf of clients
Maintain compliance hotlines and validate client website links
Manage executive calendars and coordinate travel and meeting logistics
Monitor and order office supplies
Greet and direct office visitors
Review documents prior to client distribution
Support MLR Committee administrative needs, including system updates and change facilitation
Prepare agendas, track follow-up items, and respond to internal/external requests
Compile and submit FDA and state-level compliance reports
Complete other special projects as assigned by management
Qualifications
Required:
Bachelor's degree (4-year degree required)
Strong multitasking and organizational skills
Excellent verbal and written communication skills
High attention to detail and accuracy
Ability to adapt to shifting priorities and manage deadlines
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Proficient in Google Workspace (Docs, Sheets, Drive, etc.)
Strong internet research skills
Comfortable working with all levels of management, clients, and vendors
Friendly, professional demeanor and team-oriented mindset
Preferred:
At least 1 year of customer service or administrative experience
This position offers a base salary range of $40,000 - $45,000 annually, commensurate with experience and qualifications.
