Secretary To Coordinators @ Instruction DepartmentTo assist and relieve administrative supervisor of paperwork and impediments so that he/she may devote maximum attention to the central focus of educational administration.QualificationsEducation/Certification:High school diploma or GEDMust have an Associate's Degree or have a minimum of 48 semester hours of higher education coursework or pass a district testSpecial Knowledge/Skills:Knowledge of school district organization, operations, and administrative policiesExcellent organization, communication, and interpersonal skillsMust be proficient in all Microsoft Office Suite programs with the ability to use software to develop spreadsheets, compile data and create presentationsAbility to multi-task complex administrative activitiesExperience:Two (2) years of post-secondary training orFive (5) years of job experience as a secretary and two years of job experience orFive (5) years of successful employment as a secretary within the district or another district of comparable sizeMajor Responsibilities and Duties:Clerical SupportTranscribe and type various kinds of correspondence, reports, notices, recommendations, etc.Obtain, gather, and organize pertinent data as needed and put it into usable form.Maintain a regular filing system, as well as a set of confidential files (if required), and process incoming correspondence as instructed.Manage area: is available to receive visitors, place, receive, and screen telephone calls and record messages.Order and maintain supplies as needed.Facilitate vendor communications, product research, purchasing data entry and receiving.Collect, sort, and deliver mail.Maintain accurate attendance and budgetary records.Assist personnel in the preparation and follow through of initiatives and meetings.Facilitate communications.Demonstrate productive and positive interpersonal communications.Demonstrate initiative to improve self in professional and technical competencies.Demonstrate initiative to recognize department needs and offer suitable assistance.OtherMaintain confidentiality.Follow district safety protocols and emergency procedures.Maintain an appropriate level of technology competence to meet the current and future needs of Alief.Implement alternative methods of instruction as needed.Perform other duties as assigned.Supervisory Responsibilities:NoneEvaluationPerformance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of Non-Instructional Paraprofessional Personnel.Mental Demands/Physical Demands/Environmental Factors:Tools/Equipment Used : Standard office equipment including computer and peripheralsPosture: Standing, prolonged sitting, occasional kneeling/squatting, bending/stooping, pushing pulling, and twistingMotion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching; may also require climbing stairs and reaching over headLifting: Moderate lifting and carrying (up to 15 pounds); May require occasional heavy lifting and carrying (15-45 pounds)Environment: May work prolonged or irregular hours; possible district wide travel; all campuses are temperature controlled with hard surface floorsMental Demands: Work with frequent interruptions; maintain emotional control under stressThis document describes the general purpose and responsibilities assigned to this job and is not an exhaustive list of all responsibilities and duties that may be assigned or skills that may be required.The full job description for this position is included within this job posting. If working less than 235 days, the salary will be less.
