Join us apply today!What You Will Do The Executive Assistant is responsible for supporting the SVP -Technology & Engineering for Walt Disney Imagineering. They must demonstrate strong interpersonal skills with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining complete professionalism and confidentiality. There will be expense reports, travel planning, hundreds of phone messages and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive you support is critical, because that's what enables you to become a true partner. In addition to understanding your executive's business needs, you will also need to understand the leadership and workings of Disney Experiences and of related departments across the Disney enterprise. As the "face" of your executive within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a key component to its success.This role is full-time.ResponsibilitiesPerform administrative duties including, but not limited to, screening and routing phone calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communicationsPrepare expense reports in SAP and ensure they are submitted in a timely mannerPrepare for meetings including setup for large presentations/video conferences with multiple sitesManage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support of when executive is out of the office, taking into account time zones, weather delays, traffic and fatigue levelsInterface directly with other senior executives, their support teams and external organizations your ability to work well with people on all levels is a very important part of your jobReview your leader's schedule to build-in time for things like thinking and traveling to their next meetingUnderstand the day's priorities so you can be strategic about how you direct phone callsBe ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settlesHandle extremely confidential, sensitive information, remembering that Disney is a publicly traded companyDraft letters and emails on behalf of your leaderProvide additional office support such as ordering supplies, and processing purchase orders and approval processesCoordinate department off-sites and events as neededAssist with any special projects and other related duties as neededRequired Qualifications & Skills At least 7+ years supporting an executive or equivalent experienceSharp written and verbal communication skills, including flawless grammar and a rich vocabularyAbility to showcase professionalism and business acumen while working on a high demand deskDesire to immerse yourself fully and learn all aspects of your executive's businessAbility to multi-task and prioritize workStrong proficiency with all types of computers, phones and office equipment, as well as mastery of Mac, Microsoft Office programs, SAP, Confluence, Concur, and ability to work in a Windows and Apple environmentComplete reliability handling confidential, often highly sensitive informationDesire to truly be helpful to your leaders and co-workers, to go above and beyond without being askedSome flexibility in your schedule we value work/life balance, but in a pinch, a bit more time is neededVery strong organizational skills and attention to detailA calm head and steady hand to deal with the unexpectedEducation Required: High school diplomaPreferred: BA/BS or equivalent experience preferred
