Recording Specialists manage quality checks, fee verification, document submission (including via Simplifile), and handle rejections by coordinating with internal and external stakeholders. In our Buffalo office, this role focuses on processing all recordable original documents efficiently and accurately.ResponsibilitiesConduct post-closing review of recordable documents to determine completeness, accuracy, and compliance with recording & legal guidelines.Review recording fees prior to submission to confirm correct amounts were collected at closing.Review, edit, and/or prepare necessary ancillary deed forms & other county or state specific forms prior to recording.Submit recordable documents either via mail or online to the appropriate county (or municipality) for recording within required timeframes.Review recording rejections and work to correct insufficiencies or seek assistance so resubmission can occur in a timely manner.Conduct handwritten corrections on original recordables as needed for our Recording team in Rhode Island and/or for Post Closing requirements.Reconcile filed recordables to locate recorded originals for batch shipping back to clients.Ensure all emails and internal communications are answered within established timelines.Answer/respond to calls from county representatives, borrowers, etc.Assist with other administrative assignments and projects when required.Skills and Expertise High school diploma required; University degree or equivalent knowledge/experience preferred1 year industry experience required, 3 years industry experience preferredProficient with Microsoft Office ProgramsCapability to understand and operate successfully within an action-based workflow systemExcellent written and verbal communication skills with a strong attention to detailAbility to multitask in a fast-paced, team-oriented work environmentPositive attitudeThe above statements are intended to describe the general nature and level of the work being performed by people assigned to this job.
