Administrative Coordinator
Schedule• Work schedule: Monday to Friday (off Wednesday; work Saturday as needed)• Work locations: Baltimore depot (Mon), AJ depot (Tue to Fri)• Work remotely when needed (Bad weather/transportation issues)Administrative SupportManage daily office operations and administrative tasksAnswer phones, respond to emails, and direct inquiries appropriatelySchedule meetings, appointments, and maintain calendarsPrepare reports, correspondence, and other business documentsMaintain organized filing systems, both electronic and paperOrder office supplies and coordinate vendor servicesAssist with onboarding paperwork and employee documentationPayroll SupportProcess and review employee timecards and attendance recordsAssist with weekly or bi-weekly payroll processingEnsure payroll data accuracy, including hours worked, overtime, deductions, and paid time offMaintain payroll records in compliance with company policies and applicable lawsRespond to employee payroll questions and resolve discrepanciesCoordinate with HR and accounting departments regarding payroll updates and employee status changesAssist with payroll reporting and audits as neededCoordination & CommunicationSupport department projects and operational initiativesCoordinate communication between departments and employeesMaintain confidentiality of employee and company informationEnsure compliance with company policies and proceduresQualificationsHigh school diploma or GED required; Associate's degree preferred2+ years of administrative or office coordination experiencePrevious payroll experience requiredExperience with payroll systems such as ADP, Paychex, UKG, or similar preferredStrong knowledge of Microsoft Office Suite, especially Excel and OutlookExcellent organizational, communication, and multitasking skillsAbility to handle confidential information with professionalismStrong attention to detail and accuracyPreferred SkillsExperience in manufacturing, warehouse, or distribution environmentsFamiliarity with HR and payroll compliance regulationsBilingual skills are a plusWork EnvironmentOffice-based position with regular interaction with employees and managementMay require occasional overtime during payroll processing periodsCompensation & BenefitsCompetitive salary based on experienceBenefits may include medical, dental, vision, paid time off, and retirement plansEqual Opportunity EmployerThis employer is required to notify all applicants of their rights pursuant to federal employment laws.
