The ideal candidate is a self-starter who anticipates needs, manages competing priorities effectively, and remains calm under pressure while supporting executive leadership at the highest level.This is a central, highly visible role within the organization, requiring the ability to manage, influence, and contribute to a wide range of company initiatives and executive priorities. The ideal candidate is flexible, solutions-oriented, and comfortable providing thoughtful, constructive input when needed.The individual in this role must also be comfortable representing the President and CEO when necessary, demonstrating strong executive presence, professionalism, and sound decision-making. Exceptional organizational skills, strong communication, and the ability to handle confidential information with discretion are essential.This role requires flexibility, including occasional evenings, weekends, and extended hours as needed.Key Responsibilities:Executive Support (President & CEO Backup)Manage complex, ever-changing calendars for the President; provide seamless backup support for the CEO as neededPrioritize competing demands, ensuring alignment with business priorities and executive focus areasPrepare agendas, briefing materials, and follow-ups for key meetings and leadership discussionsMeeting & Event CoordinationCoordinate internal and external meetings, to include leadership, board-related, and cross-functional sessionsManagelogisticsend-to-end: scheduling, materials, catering, and on-site coordinationPrepare executives with relevant documents and context in advanceCollaborate cross-functionallywith internal departments to support businessobjectivesand ensure seamless operationsTravel & Expense ManagementPlan and manage detailed travel, including itineraries, accommodations, and transportationHandle expense reporting accurately andtimelyCommunication & Stakeholder ManagementServe as a point of contact for internal leaders and external partners on behalf of the Presidentand CEOManage sensitive communications with professionalism and urgencyHelp streamline communication flow across leadership teamsOperational & Project SupportCreate andmaintainexecutive-level PowerPoint presentations, reports, and business documents with strong attention to detail and professionalismAssistwith special projects, cross-functional initiatives, and executive-level deliverablesManage and support the corporate goals process by coordinating meetings, discussion points, and key takeaways/action itemsSupport invoice processing and administrative workflows as neededConfidentiality & Executive PresenceHandlehighly sensitiveand confidential information with discretionOperate withstrong judgment when engaging across all levels of the organizationTeam & Culture SupportCoordinate team communications, events, and key engagement momentsHelp drive organization and structure within the executive teamQualifications5+ years of experience supporting senior executives, preferably at the C-level (CEO, President, EVP, etc.)Proven ability to thrive in a fast-paced, high-pressure corporate environmentExceptional multitasking, organizational, and time-management skillsStrong senseof urgency with the ability to pivot quickly and re-prioritizecompeting demandsSelf-starter with the ability to work independently and proactivelyExcellent written and verbal communication skillsStrong problem-solving abilities and attention to detailAbility tomaintainprofessionalism and composure underpressureHigh levelof discretion, confidentiality, and executive maturityAdvancedproficiencyin PowerPoint and other Microsoft Office Suite programsComfortable leveraging AI tools and technology to improve efficiency, organization, communication, and workflow managementExperience working with BI tools, reporting platforms, and executive-level business data preferred.Quick learner with the ability to adapt to new systems, tools, technologies, and evolving business needsThe pay range reflects the potential base salary range for this role.
