Accounts Payable Admin The Accounts Payable Admin is responsible for providing support for full cycle accounts payable including invoice entry, researching and resolving payment issues, and assisting field managers in managing payables. This position also processes the Company's daily mail and reports to the Accounts Payable Supervisor.Essential Functions:High volume, accurate, and on-time data entry of vendor invoices, ensuring appropriate documentation has been included.Respond to inquiries (phone/email/in person) for AP department. Answer routine and non-routine questions.Electronic file loading from vendors into ERP system.Corrections to invoice and accounting entries.Research payment and accounting discrepancies and resolve.Run queries and reports.Assist with monthly close out.Assist with verification of statements and open reports from vendors.Assist with mailing checks with special instructions as required.Filing, scanning, and copying.Assist field managers by directing them to available reports and training resources.Daily mailroom responsibilities:Retrieves incoming mail from the company mailbox and sorts and delivers to applicable departments and/or employees.Operates postage machine as necessary.Collects mail and fills outgoing mailbox.Accepts package deliveries.Perform other duties as assigned.Skill and Knowledge Requirements:High School Diploma or GED equivalent.Effective communication skills. Demonstrated talent for interacting with a wide variety of people.Ability to effectively organize and coordinate multiple priorities.Ability to problem solve. Ability to maintain confidentiality.Proficiency with Microsoft Office (Word, Excel, and Outlook).Attention to detail and ability to work under time constraints.Willingness to learn. Ability to listen and follow directions, asking questions for clarification.PeopleSoft and/or Workday experience preferred.Physical and Mental Requirements:Ability to sit at a desk in front of a computer for most of the work day.Reading and writing work-related documents in English.Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.Lifting, carrying, and pushing up to 15 lbs. frequently, up to 30 lbs. occasionally.Constantly communicates and receives verbal communication with other employees.Occasionally stoop, kneel, or crouch.Use hands and arms to reach for, grasp, and manipulate objects.Founded in 1917, Guest Services has worked tirelessly to earn the reputation as the premier hospitality management company and National Park Service concessionaire in the United States.
