Job DescriptionReporting to the Assistant to the Dean of Liberal Arts & Sciences (LAS), the Department Coordinator provides comprehensive administrative and operational support to the Dean's Office. The role supports faculty, staff, and students through coordination of academic processes, scheduling, reporting, and office operations. The Coordinator manages high-volume interactions, exercises independent judgment, and ensures efficient and responsive service delivery that directly supports enrollment, faculty services, and student satisfaction.Essential FunctionsAdministrative & Operational SupportProvide high-level administrative support to the Dean's Office, including drafting correspondence, reports, and meeting materials.Coordinate the Dean's calendar, including meetings with faculty, staff, students, and candidates.Maintain office operations, procedures, records, supplies, and equipment.Maintain staff vacation schedules (Winterim and Summer) to ensure adequate office coverage.Assist with the LAS School's scholarships, including generating reports to verify eligibility. Initiate action forms and track progress via SmartSheet.Schedule events through 25Live.Academic & Faculty Services SupportVerify accuracy of faculty and supervisory timesheets and absence reports.Process faculty-related administrative actions including assignments and payroll-related documentation.Support faculty search processes by advising search committee chairs on procedures and required documentation.Coordinate candidate interviews and scheduling with the Dean.Provide faculty with administrative support related to grants.Student Services & Academic OperationsAssist students and departments with registration issues using Banner and Degree Works.Enter prerequisite waivers, special permissions, and course-related transactions.Provide support for course withdrawals and registration approvals when departmental offices are unavailable.Assist the Presidential Scholars Program with special permission waivers.Budget & Financial OperationsProcess purchases, vouchers, and payments using Financial Enterprise.Maintain office supply inventory and coordinate procurement of materials and equipment.Support financial tracking and administrative coordination of departmental expenses.Data Management & ReportingTrack enrollment and generate reports using Argos and other institutional systems.Run student academic history reports and maintain accurate institutional records.Ensure accuracy and integrity of data related to faculty, students, and departmental operations.Communication & Stakeholder EngagementServe as a primary point of contact for faculty, staff, and students within the Dean's Office.Respond to high-volume inquiries via phone, email, and in person with professionalism and discretion.Facilitate communication between the Dean's Office and academic departments.Additional ResponsibilitiesSupport a high-volume Dean's Office environment serving faculty, staff, and students across the School of Liberal Arts & Sciences.Support enrollment, student satisfaction, and faculty service delivery through responsive administrative coordination.Provide cross-departmental support when LAS departmental offices are closed, ensuring continuity of operations and student services.Assist with institutional processes that directly impact academic operations and faculty engagement. The preceding description is not designed to be a complete list of all duties and responsibilities required of the position; other duties may be assigned consistent with the classification of the position.RequirementsMinimum Qualifications:Bachelor's degree required.Minimum 2-4 years of relevant administrative experience required.Preferred Qualifications3-5 years of experience preferred.Experience working in higher education or a similar environment.Knowledge, Skills, & AbilitiesStrong organizational, time management, and problem-solving skills.Excellent written and verbal communication skills.High level of professionalism, discretion, and customer service orientation.Ability to manage multiple priorities and work independently in a fast-paced environment.Strong interpersonal skills with experience working with diverse populations.Proficiency with Banner, Argos, Financial Enterprise, and Google Suite applications.Additional InformationPlease note all offers of employment are contingent upon successful completion of the background check process.SalarySalary: $70,522.32 per year; commensurate with experience and qualifications.The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment.
