Administrative Assistant/Customer Service Representative

SUMMARY Administrative assistant/customer service representative for City Hall. Answers main switchboard routing calls, conveying messages; greeting/directing incoming visitors; provides information and assistance in the areas of sales/use tax and business licensing, accounts payable, Municipal Court, Planning, Parks and Recreation, Administration, Public Works, Utilities, appointment scheduling for the organization and other various areas as assigned. Prepare and balance various deposits, and assists with various functions of the Finance and other department operations. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Answers multi-line switchboard, routes calls, takes and delivers messages. 2. Greets and directs visitors, customers, and employees. 3. Provides information and assistance to visitors, customers, and employees. 4. Oversees Accounts Payable (AP) including preparing invoices, enters into finance software and routes for appropriate signatures, and prepares weekly check run for AP. 5. Serves as customer service representative to visitors and customers of City Hall assisting them with sales/use tax and business licensing, Municipal Court, certain zoning development permits, and other permits and processes as assigned. 6. Prepares daily bank deposit for invoice payments, planning permits, and miscellaneous cash receipts, and enters data into accounting system. Balances daily cash drawer and prepares for days business. 7. Processes City Hall drop box contents daily and dispenses items to appropriate departments. 8. Accepts payments and deliveries; forwards to or notifies appropriate department. 9. Issues dog licenses in accordance with established guidelines. 10. Coordinates mailing of weekly accounts payable checks; ensures supporting documents are included and filed in appropriate vendor files. Maintains vendor files. 11. Assists other City personnel by accepting business license applications and sales/use tax returns assuring proper remittance is received. 12. Prepares various correspondence/reports/procedures for City staff as assigned. 13. Assists with maintenance of City’s web site and other City internal and external communication/documentation tools as assigned. ADDITIONAL RESPONSIBILITIES 1. Assists with special projects for Finance and other departments as needed or assigned. 2. Assists Finance staff as needed. 3. Fills in for the Parks & Recreations office as is necessary. 4. Prepares reports and other paperwork as needed. 5. Attends workshops, seminars, and schools as applicable. 6. Other related duties as assigned. SUPERVISION RECEIVED Reports to the Finance Director/Treasurer. SUPERVISION EXCERCISED May supervise part-time or temporary employees or volunteers as assigned. MINIMUM QUALIFICATIONS Education and Experience 1. High school diploma or GED. Necessary Knowledge, Skills, and Abilities: 1. Working knowledge of customer service principles and ability to tactfully deal with public. 2. Working knowledge of Microsoft Office applications such as Excel, Word, Access, etc. 3. Ability to perform basic math operations. 4. Working knowledge of basic filing methods. 5. Ability to communicate effectively verbally and in writing. 6. Ability to establish effective working relationships. 7. Skill in the operation of listed tools and equipment. TOOLS AND EQUIPMENT USED Personal computer and associated software applications (i.e. Microsoft Office applications, ADG, Caselle, Full Court, Laser Fiche, and others), typewriter, multi-line switchboard, computerized cash register, and calculator. WORK ENVIRONMENT Work is performed mostly in an office setting. The noise level in the work environment is typical of the modern office, and is generally quiet to moderately noisy.
