Now hiring Chiropractic Office Manager Full-Time · In-Office · $19–$25/hr + Quarterly KPI Bonuses About the role We are a cash-based chiropractic practice seeking a highly motivated and experienced Office Manager to lead our day-to-day operations. Our model is straightforward — patients pay directly at the time of service or in advance, and we provide superbills upon request. Insurance billing is limited exclusively to Personal Injury Protection (PIP) and personal injury cases, which also requires active coordination with law offices and adjusters. This is a key leadership role requiring someone who is detail-oriented, professional, and thrives in a fast-paced clinical environment. Compensation & benefits Base pay $19 – $25/hr Based on experience Bonuses Quarterly KPI Performance-based incentives Schedule Full-Time Monday – Friday KPI bonus metrics include: patient retention rate, superbill accuracy and turnaround time, PIP collections ratio, case file organization and response time to legal/adjuster requests, appointment fill rate, and patient satisfaction scores. Key responsibilities Oversee all front and back-office daily operations Process patient payments and manage daily cash reconciliation Generate accurate superbills upon patient request using correct CPT and ICD-10 codes Submit and manage PIP and personal injury insurance claims from open to close Serve as primary point of contact for law offices, attorneys, and insurance adjusters Maintain organized, complete, and timely case documentation for all PI/PIP patients Track lien statuses and follow up on outstanding balances with legal representatives Respond promptly to records requests, demand letters, and legal correspondence Supervise, train, and schedule front desk and support staff Maintain EHR records, patient documentation, and reporting in Chiro HD Track KPIs and prepare regular performance reports for the doctor/owner Maintain HIPAA compliance and patient confidentiality across all communications Manage inventory, office supplies, and vendor relationships Foster a welcoming, professional patient experience from check-in to checkout Important — our billing model We are a cash-based clinic. We do not bill health insurance. All standard patients pay at the time of service. Superbills are generated on request so patients may seek their own reimbursement. Insurance claims are submitted only for PIP and personal injury cases. Candidates must be comfortable operating in this model and have a clear understanding of how cash-pay and PI billing coexist in a single practice. Required qualifications Minimum 2+ years of chiropractic or healthcare office management experience Proficiency in superbill generation using correct CPT and ICD-10 coding for chiropractic services Demonstrated experience managing PIP and personal injury billing from intake to settlement Comfortable communicating professionally with plaintiff attorneys, defense counsel, and insurance adjusters Prior supervisory or management experience leading a team of 2 or more Exceptional punctuality, reliability, and organizational skills — you set the standard for the team Understanding of lien-based care, demand packages, and medical records requests in PI cases Proficiency with EHR/practice management software and Microsoft Office / Google Workspace Strong understanding of HIPAA regulations, including proper handling of records releases to legal parties Excellent written and verbal communication skills — professional, composed, and responsive Preferred qualifications Experience with Chiro HD EHR software — highly preferred Prior experience in a cash-pay or hybrid chiropractic practice Certified Professional Coder (CPC) or equivalent medical billing certification Bilingual (English/Spanish) — a plus in serving our diverse patient community Who you are You are a self-starter who doesn't need to be micromanaged.
