Receptionist Job SummaryUnder the guidance and direction of the Human Resources/Office Manager, the Receptionist performs a variety of office-oriented tasks to ensure effective administrative operations, office operations and staff support with a focus on customer service and general office skills. The Receptionist supports the main reception lobby and is responsible for screening and routing company calls and directing client traffic throughout the workday. The Receptionist is responsible for ensuring smooth operations within the organization while adhering to the organization's values and principles. The Receptionist performs a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Job FunctionOperating telephone switchboard to answers, screens and transfer inbound calls, providing information, taking messages for multiple divisions Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destination Logs and count daily group calls and "ask-fors" for multiple divisions Provides administrative support to the Office Manager Provides administrative support to the requesting departments Open, calculate and date stamp checks for Accounts Receivable for multiple divisions Operate typing, adding, calculating, computer using the company ERP system Use timestamp, open, read, sort and route incoming mail Sorting sales orders, purchase orders, and acknowledgements to prepare for distribution Clear jams in sortation equipment Perform general office duties such as typing, and operating machines Weigh packages or letters to determine postage needed, using weighing scale and rate charts All other duties and responsibilities assigned by management Required SkillsMinimum of 2 years' experience in a customer service or administrative role required Must be proficient in Excel and know how to utilize formulas and formatting Proficiency with Microsoft Office products required Knowledge of operation of standard office equipment Knowledge of clerical and administrative procedures and systems such as filing and record keeping Knowledge of principles and practices of basic office management Must exhibit high level of professionalism and ability to maintain confidentiality Must be highly organized and precise in work detail with the ability to prioritize and problem solve Must be able to comprehend work demands and communicate clearly, verbal and written Must be able to follow instructions accurately Must be diligent, strong work ethic with an attention to detail and accuracy Must be able to balance varying work demands and shift priorities if necessary Must be able to work with strong personalities, be flexible and teamwork oriented Must have developed awareness of professional office protocol Must maintain a professional appearance Compensation RangeThe anticipated compensation for this position is USD $19.00/Hr. - USD $19.00/Hr. depending on experience, qualifications, and location.
