Maintenance and TransportationDepartment Secretary JobID: 750Position Type:Secretarial/ClericalDate Posted:5/6/2026Location:MaintenanceDate Available:08/03/2026Additional Information: Show/HideDepartment SecretaryPosition PurposeUnder the direct supervision of department supervisors, to provide a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.Essential Functions:Maintenance Job Duties:Prepare monthly and weekly purchase orders and payment authorizations as requiredReconcile invoices and receiptsPrepare correspondence, records, and reportsMaintain file on school assets, maintenance vehicles, and safety inspectionsCompile and reports time records, including leave requests and reports for payrollHandle calls, emails, and emergency repair requestsCompile and file all reports, records, and other documents as required including preventative maintenance data and work ordersMaintain files on employees in accordance with state, federal, and district requirementsOrder custodial supplies that are not included in custodial contractMaintain budget recordsOrder office suppliesKeep up with asbestos, IPM, and pesticide hours for continuing educationAssist in purchasing parts, supplies, and equipmentTransportation Job Duties:(General budget and filing responsibilities indicated above plus the following)Maintain records of monthly fleet mileage and vehicle files and maintenanceCompile data for TEA route report and operations reportMaintain staff filesComplete annual driver's license reportsComplete payroll requests, including timesheets, time-off, and payments for all driversSchedule annual driver physicalsPull film and review as neededPhysical and Mental Demands, Work HazardsWorks in standard office and school building environments.Ability to work outdoors during outdoor student activities.See the Summary of Physical, Sensory and Environmental Requirements Needed to Perform Essential Job Duties for this position.Qualification ProfileHence providing the required skill and knowledge for successful performance would be qualifying.
