Project Accountant
We are looking for a Project Accountant to join the team at our office in Greendale, Indiana. This position supports the financial administration of construction projects from setup through closeout and works closely with Project Managers, Project Executives, Superintendents, subcontractors, vendors, and the accounting team to ensure accurate job cost reporting, timely owner billings, proper subcontractor/vendor payment processing, and strong financial controls throughout the project lifecycle.The ideal candidate is organized, detail-oriented, proactive, and able to understand both the “how” and the “why” behind project accounting activities. This role requires someone who can communicate clearly with operations and accounting, anticipate project documentation needs, and help ensure that project financial information is accurate, timely, and useful for decision-making.Essential Duties And ResponsibilitiesSet up projects in the accounting/project management system, including budgets, cost codes, contract values, billing terms, retainage, and project-specific requirements.Prepare and process owner billings, including AIA pay applications, continuation sheets, lien waivers, stored material backup, and other required billing documentation.Review subcontractor and vendor invoices for accuracy, proper approval, cost coding, contract compliance, retainage, change order status, and required supporting documentation.Track subcontractor retainage and assist with retainage release in accordance with subcontract terms and owner payment status.Maintain accurate job cost records, including committed costs, actual costs, approved and pending change orders, allowances, back charges, and projected costs.Prepare job cost reports and assist Project Managers with cost reviews, budget transfers, cost code corrections, over/under billing review, and variance analysis.Monitor accounts receivable and assist with follow-up on unpaid invoices, retainage, disputed amounts, or missing documentation.Track owner change orders, subcontractor change orders, purchase order revisions, credits, allowances, and disputed costs.Support compliance documentation, which may include insurance records, W-9s, lien waivers, certified payroll, prevailing wage records, tax-exempt documentation, and other project-specific requirements.Support project closeout, including final billings, final lien waivers, retainage collection, cost reconciliation, and resolution of open commitments.Job RequirementsAssociate’s or bachelor’s degree in Accounting, Finance, Business, Construction Management, or related field preferred.Two or more years of accounting, project accounting, construction administration, or job cost experience preferred.Proficiency in Microsoft Office, especially Excel, Word, Outlook, and PDF/document management tools.Ability to read and understand basic contract terms related to billing, payment, retainage, change orders, insurance, tax status, and closeout.Strong attention to detail, organization, follow-through, and ability to prioritize competing tasks.Strong written and verbal communication skills.Ability to work effectively with project managers, field personnel, subcontractors, vendors, owners, and internal accounting staff.Must be accountable to escalate issues promptly, learn and apply knowledge quickly, and consistently meet deadlines.About Maxwell ConstructionMaxwell Construction is a family-owned and operated construction company based in Greendale, Indiana, just off the I‑275 loop, with projects spanning Central and Southeastern Indiana and extending into Kentucky and Ohio.
