Leadline Project Management is seeking a Document Controls Senior Analyst to support program management on the Vibrant Denver Bond program through effective document lifecycle, records, and configuration management. This role ensures document integrity, compliance, and accessibility across design and construction projects using Client-approved document management platforms. Under the supervision of the Program’s Document Control and Program Compliance Manager, this position will assist with the implementation, administration, and ongoing day-to-day document lifecycle and records management of the program management team and associated capital programs’ design and construction projects in a platform approved and specified by our Client(s). This position assists with team training and self-audits best business practices for document and configuration management of baseline documents through the engineering and construction project lifecycle. Document Control & Program Support● Manage the full document lifecycle for program management, design, and construction projects within Client-approved systems ● Ensure document accuracy, version control, configuration management, and timely distribution across project teams ● Support document-related contract, regulatory, and information governance compliance ● Coordinate document workflows for submittals, RFIs, change orders, deliverables, and closeout documentation ● Maintain document logs, registers, and revision histories to support audit readiness and transparency ● Collaborate closely with program managers, project teams, consultants, and contractors to support project execution Systems Administration & Data Governance ● Administer Electronic Content Management Systems (ECMS) and Project Management Information Systems (PMIS) ● Manage user access, roles, permissions, and settings in accordance with Client policies ● Enforce standardized file structures, naming conventions, and metadata requirements ● Monitor system performance and identify opportunities for process improvements and efficiency gains ● Generate routine and ad-hoc reports related to system usage, access, and document status ● Support compliance with data protection, cybersecurity, and records retention requirements Training, Quality, & Continuous Improvement● Provide guidance, training, and one-on-one support to staff on document control processes and systems ● Support implementation and adherence to Client-approved document control SOPs and best practices ● Perform quality checks to ensure documents meet formatting, accessibility, and submission standards ● Participate in internal and external audits and support corrective action as needed ● Assist with onboarding by facilitating system access and orientation for new staff ● Contribute to the development of internal guidance and templates Qualifications ● Associate degree in Construction Management, IT, Business Administration, or equivalent ● 10+ years of document control or configuration management experience on large capital or construction programs (or equivalent combination of education and experience) ● Experience with document management platforms (e.g., SharePoint, Procore, Box, Aconex, eBuilder, Bluebeam) ● Comprehensive and working knowledge of database administration, user permissions and roles for web-based applications are required ● Strong working knowledge of Microsoft 365 and Adobe Acrobat ● Familiarity with construction documentation, contracts, and records management best practices ● Strong organizational skills with the ability to work independently ● Excellent interpersonal skills with the ability to work with all levels of management, program and project staff, and external program/project stakeholders About Leadline Leadline is a mission-driven project management and consulting firm that helps public agencies move forward with clarity and results. Additional Details This is a full-time position employed by Leadline and is not an employee of the City and County of Denver.
