You will be asked to provide Support to our Operations Director, Managing Partner, and Marketing Manager. What are we looking for? We are looking for a self-starter (off the charts for proactivity and taking initiative) and team player who has excellent administrative and communication skills that wants to help organize and support our Firm to keep it running efficiently. We need someone who can help support our team execute on the firm’s vision, systems and processes, optimize operations, and manage and execute day to day tasks necessary for our Firm to operate efficiently. You duties will include supporting some of the leadership and keeping up with communications (internally and externally) that allow us to be profitable. Your basic responsibilities and skills needed: Booking meeting rooms; arranging business meeting schedules; calendars. Scheduling inter-office meetings between teams, managers, and sections. You can manage complex networking ecosystems. Make travel arrangements as needed such as booking flights, cars, and hotel or restaurant reservations. Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks (Bill.com) Ability to use (or willingness to learn) basic accounting software such as QuickBooks or Bill.com to generate invoices and receipts (Bill.com) Maintains office supplies & inventory; order as needed. Proficiency in computer programs, particularly Microsoft programs or Google Docs. Data entry skills and knowledge of databases and spreadsheets, including Microsoft Excel and Google Sheets. IT Liaison: Assist with IT Company, submitting tickets for IT issues. (you don’t fix our computers yourself) Ability to use scheduling software and workflow programs, including Google Calendar, Clio Calendar and others. Provides administrative support to ensure efficient operation of office. Supports team by performing tasks related to Firm’s goals/vision. Contributes to firm outcomes as needed. General marketing assistance as needed.
