Job Title: Executive Assistant to the Principal Company: Interrante Design-Build, LLC. & other business operated by the Principal. Location: In Person. Kingston, NY Position Type: Part-Time or Full-Time to start, ultimately full-time after initial 6 months. We are seeking a dedicated and highly organized Executive Assistant to support our Principal in managing daily operations and ensuring the smooth functioning of our office. Job Description: As the Executive Assistant to the Principal of Interrante Design-Build, LLC, you will be responsible for a wide range of tasks to support the Principal in their day-to-day activities. The ideal candidate is proactive, detail-oriented, and has the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities: Inbox & Calendar Management: Efficiently manage the Principal's email inbox, prioritize messages, and ensure timely responses. Organize and coordinate meetings, appointments, and travel arrangements. Office Administration: Handle all office-related tasks including document management, filing, and correspondence. Prepare reports, presentations, and other necessary documents. MS Word & Excel: Create and edit documents, spreadsheets, and presentations. Ensure all documents are formatted correctly and contain accurate information. QuickBooks: Manage financial records using QuickBooks, including invoicing, bill payments, expense tracking, and financial reporting. Communication: Serve as a point of contact between the Principal and internal/external stakeholders. Ensure clear and professional communication at all times. Project Coordination: Assist in the coordination of projects, including tracking deadlines, managing project documentation, and ensuring tasks are completed on time. Problem-Solving: Address issues as they arise and find efficient solutions to keep operations running smoothly. Personal Life: Assist with various tasks & responsibilities outside of the typical business duties. Examples include running errands, personal banking, managing household schedules, booking travel arrangements, paying bills, scheduling regular maintenance performed by others including household cleaning & similarly related maintenance. Qualifications: Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role. Strong proficiency in MS Word, Excel, and QuickBooks is required. Exceptional organizational and time-management skills. Excellent verbal and written communication abilities. Ability to maintain a high level of confidentiality and professionalism. Strong attention to detail and accuracy in all tasks. Ability to work independently and as part of a team. Preferred Qualifications: Experience in the real estate development or construction industry. Familiarity with design-build processes. Why Join Us?
