Executive Personal Assistant
We are seeking a highly organized, proactive, and energetic Personal Assistant to support a dynamic professional who wears multiple hats as a life coach, Zumba instructor, and Managing Attorney. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety, and is comfortable balancing professional, creative, and personal support tasks. This is a position that requires flexibility and some weekend and afternoon work.Responsibilities:Help prepare meetings and take detailed minutesMake sure executive schedules including travel arrangements, itineraries, and team meetings, are organized and up-to-dateReport incoming information like phone calls, messages, memos, and emails to an executiveExecute other tasks as assigned by executives like picking up orders, arranging personal appointments, etc.Act as the main point of contact the high-level executiveOrder Office SuppliesOrganize and monitor the Managing Attorney's emailsHandle some social media postsCalendar & Scheduling ManagementMaintain and coordinate multiple calendars (professional, fitness, legal, and personal)Schedule meetings, classes, court-related commitments, events, and travelSend reminders and manage time-sensitive deadlinesDriving & Transportation• Provide reliable transportation to meetings, classes, events, and appointments• Assist with errands and logistics as neededTravel Coordination• Arrange and manage travel (flights, hotels, itineraries, packing coordination)• Accompany on trips when required to provide on-site supportSocial Media & Brand BuildingAssist with planning and executing social media campaignsHelp build and maintain a strong social media presence across platformsCoordinate content posting, engagement, and basic analytics trackingSupport branding efforts for coaching, fitness, and professional servicesAdministrative & Personal SupportHandle emails, phone calls, and correspondenceAssist with event planning, workshops, and fitness classesAnticipate needs and proactively solve problemsMaintain confidentiality and professionalism at all timesQualifications:Experience handling confidential information and adhering to strict deadlinesMust have graduated high school or received an equivalent certificate of completionExperience using Microsoft OfficeExcellent communication skills, time management skills, interpersonal skills, and organizational skills2+ years performing supportive duties in a personal assistant or executive assistant role, or similarProven experience as a personal assistant, executive assistant, or similar roleStrong organizational and time-management skillsComfortable multitasking and switching between roles and prioritiesSocial media savvy (Instagram, Facebook, TikTok, LinkedIn preferred)Valid driver's license and clean driving recordWillingness to travel and work flexible hours (including occasional evenings/weekends)Discretion and professionalism, especially around legal mattersAbout Company:The Foster Firm, LLC is a boutique personal injury law firm.
