This role is critical to enabling strategic focus, ensuring smooth day-to-day execution, and fostering a culture of preparedness and responsiveness.The ideal candidate thrives in a fast-paced environment, is comfortable juggling multiple priorities, and brings a proactive mindset to improving how we work. They’ll exercise sound judgment, discretion, and initiative to anticipate needs and solve problems before they arise.This Executive Assistant will provide high-level administrative support, manage confidential matters with discretion, coordinate across teams, and serve as a trusted liaison for internal and external stakeholders.ResponsibilitiesManage complex executive calendars, meeting cadences, and priority alignment across multiple stakeholders and time zones. Proactively identify scheduling conflicts, drive timely follow-up on commitments, and ensure a high level of responsiveness to requests and inquiries. Effectively manage expectations with a broad range of internal and external stakeholders.Partner with other Executive Assistants, in particular the Senior Executive Assistant to the Chief Sustainability Officer (CSO), to coordinate across executive leaders and effectively manage priorities, tradeoffs, and competing demands.Schedule, plan and coordinate team events, meetings, and multi-day offsites, including organizing logistics, on-site amenities, and activities.Help drive meeting effectiveness; provide meeting support, including preparing agendas, capturing action items and notes as needed, and distributing meeting summaries, presentations, and follow-up materials.Track key cross-functional commitments and proactively drive closure on outstanding actions across stakeholders.Coordinate domestic and international travel, expense reporting, and logistical planningAssist with budget tracking and procurement processes, including vendor setup and purchase orders.Develop and maintain positive working relationships with staff, internal departments, and outside parties.Maintain select GTM team operational systems, documentation, and administrative processes that support executive and team effectiveness (e.g., SharePoint)Manage ad-hoc projectsThe Ideal CandidateProactive, high initiative, and a self-starter. Minimum Qualifications3+ years of experience supporting senior executives, preferably in a fast-paced corporate or technology environmentExceptional organizational, prioritization, and time management skillsWilling to adapt to a rapidly changing environment and new processes and responsibilities.Proven ability to work under pressure, communicate effectively, and meet deadlines.Proficiency with collaboration and productivity tools, including Microsoft Teams, SharePoint, PowerPoint, Excel, Word, Slack, Zoom, and project management platforms such as Airtable and Miro.Excellent verbal and written English communication skills.
