This role is responsible for coordinating project documentation, assisting with scheduling and communication, maintaining production files, supporting insurance and estimating processes, and ensuring projects progress efficiently from start to finish.The ideal candidate thrives in a fast-paced environment, can manage multiple priorities simultaneously, and communicates professionally with customers, subcontractors, insurance carriers, and internal team members.Key ResponsibilitiesRead and understand reconstruction scopes, insurance estimates, and Xactimate estimatesCoordinate and manage details for multiple active reconstruction projects simultaneouslyAssist Project Managers and Production teams with project scheduling, tracking, and administrative supportMaintain accurate and complete production files, including:NotesPhotosContractsChange ordersPermitsInsurance documentsJob-related correspondenceUpload and organize project documentation in company software systemsObtain required job documentation from internal team members and ensure file completenessAnswer incoming calls regarding new losses and assign projects to the appropriate teams as neededCreate and maintain customer build selection sheets and finish schedulesCommunicate professionally with customers regarding project updates, scheduling, and outstanding itemsMonitor project budgets, timelines, and progress to help ensure projects stay on schedule and within budgetAssist with collections and obtaining final payments upon project completionReport project progress, delays, and challenges to managementAttend team, production, and divisional meetingsSupport continuous improvement initiatives and uphold company standards for customer service and professionalismQualifications & RequirementsConstruction or reconstruction industry experience preferredExperience with Xactimate and insurance restoration processes preferredStrong organizational and multitasking abilitiesAbility to manage multiple projects and deadlines simultaneouslyExcellent verbal and written communication skillsStrong attention to detail and follow-throughProficient with Microsoft Office and construction management softwareAbility to work effectively in a fast-paced team environmentProfessional demeanor and positive attitudeHigh school diploma or equivalent required; additional construction or administrative experience preferredBenefitsCompetitive salaryMedical, dental, and vision insuranceOpportunities for training, development, and career growthScheduleMonday – Friday7:00 AM – 4:00 PMCompensation: $60,000.00 - $70,000.00 per yearBuilt on a foundation of great brands and employees with a passion for service, our vision is to be the leading provider of essential services through empowered people, world-class customer service and convenient access.
