The candidate must have previous experience handling non-profit accounting and ideally has great working knowledge of Quickbooks and the organization’s CRM (Bloomerang). This person needs to have exceptional attention to detail, patience, and be well-organized. The Staff Accountant reports directly to the Director of Operations and collaborates closely with the Executive Director. Principal Duties:Accounts Payable & Expense ManagementManage full-cycle accounts payable, including invoice processing, approval workflows, and payment disbursementAdminister electronic billing systems (e.g., Bill.com), including vendor setup and payment schedulingCoordinate batch and group payments while maintaining appropriate internal controlsRecord and classify expenses in QuickBooks, including credit card transactions (Divvy)Ensure proper expense allocation across programs, departments, and grantsAccounts Receivable & Revenue TrackingGenerate and distribute invoices; monitor and follow up on outstanding receivablesProcess and record incoming payments, including checks, electronic payments, and software transactionsReconcile and record all earned revenue streams (tickets, passes, memberships, donations)Maintain accurate donor and customer records in coordination with development/operations teams, utilizing the organization’s CRM system to ensure consistency between donor data, revenue tracking, and accounting recordsSupport revenue recognition in accordance with accrual accounting and nonprofit standardsPayroll & Employee CompensationProcess bi-monthly payroll and ensure accurate posting to the general ledgerAdminister payroll system (Gusto), including onboarding new employees and maintaining recordsCoordinate time tracking and approvals for hourly staffMonitor employee deductions, benefits, and reimbursements for accuracy and complianceAssist with payroll-related reporting and filings as neededGrant Accounting & ComplianceTrack, monitor, and reconcile all grant-related income and expendituresEnsure proper allocation of expenses to grants in accordance with grant agreements and restrictionsMaintain supporting documentation for grant compliance and reportingRecognize grant revenue under accrual accounting standards (including restricted/unrestricted funds)Assist with grant reporting and audits, ensuring alignment with funder requirementsFinancial Reporting & Close ProcessPrep and create monthly board report documentation in collaboration with the Executive Director and Board Finance CommitteePerform monthly and year-end close processes, including reconciliations across systemsReconcile bank accounts, credit cards, and subsidiary systems to QuickBooksPrepare and analyze financial statements (monthly, quarterly, annual)Support fiscal year close (July 1 – June 30) and maintain accurate financial recordsAudit, Tax & Compliance SupportPrepare schedules and documentation for external auditors and tax preparersAssist with annual audit and Form 990 preparationEnsure compliance with nonprofit accounting standards and internal policiesMaintain organized financial records and audit trailsBudgeting & Financial PlanningAssist in development of annual operating budget and mid-year revisionsMaintain budget tracking within QuickBooks and monitor actual vs. budget performanceProvide variance analysis and support program managers in understanding financial performanceSkills, Experience + Qualifications: Alignment to the organization’s stated mission and valuesPrevious working experience in non-profit accounting, especially grants Great practical knowledge of online Quickbooks Up to date knowledge of accounting standards and regulations Accounting degree, and/or other certifications preferred Ability to prepare and maintain cash flow forecasts, short-term and long-termPrevious working experience of payroll system(s) Proficiency using CRM software; Bloomerang experience a plusSuperb attention to detail, great math skills Self-starter with strong initiative, drive, sense of urgency & ability to work with a high degree of autonomyVery savvy with tech, software Great organization, planning, and productivity skillsRepresents confidentiality and integrity Lives in the New Orleans metro area or is willing to relocate by the start of the position.
