College Registrar

Reporting directly to the Vice President of Academic Affairs, the Registrar provides leadership and oversight of the Registrar's Office.The College Registrar oversees two full-time staff members and the office regularly employs student workers. The Registrar's office is responsible for the management of student records and academic transcripts, registration, student grades, the certification of enrollment, the monitoring and evaluation of student progress toward the degree and the preparation of diplomas. Additionally, the office monitors student academic standing, assists with athletic eligibility certification, and is responsible for the enforcement of academic and administrative policies and procedures regarding matriculation, articulation and the collection of basic enrollment data. Finally, the office has responsibilities for external institutional reporting and compliance work with all relevant Federal and State regulations.Hours: Monday - Friday, 40 hours per weekExempt Status: ExemptFull Time/Part Time status: Full TimeSalary Range: $95,000-$110,000; Salary will commensurate with experience, skills, and knowledge.Reports to: Vice President of Academic AffairsLocation/Department: Whittier College / RegistrarResponsibilitiesResponsibilities include but are not limited to:Strategic Leadership, Compliance and PolicyProvide strategic direction for the Registrar's office aligned with institutional goals.Develop, implement, and enforce academic and administrative policies.Oversee the maintenance and security of student academic records, the production of transcripts, enrollment verification, the processing and posting of grades, written and direct interaction with faculty, students, staff, administration, and external agencies and organizations regarding student records. Collaborate with Financial Aid on student withdrawals.Assess operations against national best practices in registrar operations and academic recordkeeping to optimize service delivery and resource use.Manage budget and financial planning for the office.Represent the Registrar's Office on various Whittier College committees and leadership structures.Institutional ReportingEnsure timely and accurate reporting to external entities. Responsible for the verification and submission of data to the National Student Clearinghouse, internal enrollment management registration related reports, and final preparation of census enrollment data as reported by the Office of Institutional Research and Effectiveness.Coordinate preparation of state and federal VA reporting and preparation for annual VA institutional audits.Support institutional accreditation and compliance reporting requirements.Prepare academic data analyses to inform strategic planning and policy development.Registration, Scheduling, and EnrollmentDirect all aspects of course registration, course scheduling, and enrollment status changes.Coordinate the registration process for each academic term.Oversee the transfer articulation process and the accurate representation of articulation agreements and evaluations.Manage the graduation evaluation process, providing information to students regarding academic progress toward the degree, additional transfer evaluation for domestic and foreign coursework, and evaluation of status toward graduation. Responsible for the timely preparation and issuance of diplomas.Collaborate with various academic units for petitions to Whittier College policy.Participate in the monitoring of student academic standing.Develop and recommend campus initiatives related to degree audit, graduation, articulation and DegreeWorks. Ensure business processes are aligned with academic programs and College policy including collaboration with VPAA's Office, shared governance committees and academic departments.Technology & Business Process OptimizationOversee the student information system, ensuring data accuracy and security.In coordination with IT and appropriate offices, manage the maintenance of technology of existing registrar systems, including Banner and DegreeWorks.Serve as the security administrator for registrar-related access to the student information system.Lead implementation of new technologies and revise workflows to improve efficiency.Provide system training and documentation for faculty and staff.Supervisory* Manage and provide leadership for Registrar's office. Supervise, organize, and evaluate administrative and support staff. Recruit and hire both professional and support staff. Prepare and manage the budget and financial planning for the office.Other duties as assigned.Non-essential Functions of the Job* Participates in College task forces and special projects as required.* Performs other job-related duties and special projects as assigned.Position Specifications and RequirementsBachelor's Degree required; Master's Degree OR equivalent training acquired via work experience or education preferred.Minimum of 5 years' experience in a registrar's office at an institution of higher education.Experience at a 4-year institution is strongly preferred.Minimum of 3 years' experience as an Associate Registrar managing a team of 2 or more.Machines, Tools, Equipment, Electronic Devices and SoftwareFamiliarity with Banner, DegreeWorks, Controller, Scribe, and Transit desired.Application Instructions1) Letter of Interest, 2) CV or resumé, 3) a list of references.
